Personal Assistant to the Chairman | Madrid, Spain

We are seeking an exceptional Personal Assistant to the Chairman to provide high-level executive and personal support in a fast-paced international environment.
This is a trusted position requiring exceptional organizational skills, discretion, and the ability to anticipate needs before they arise. The successful candidate will work closely with the Chairman, managing both professional and personal affairs while coordinating with senior executives, clients, advisors, and external stakeholders.
The role requires frequent international travel and flexibility to accommodate changing schedules and business priorities.
Salary: 2000- 2500 euros
Key Responsibilities
- Manage the Chairman's complex calendar, appointments, and daily schedule.
- Coordinate domestic and international travel, including flights, accommodation, visas, transportation, and detailed itineraries.
- Accompany the Chairman on business trips when required.
- Prepare meeting agendas, presentations, reports, and briefing materials.
- Screen, prioritize, and manage emails, calls, and correspondence.
- Act as the primary point of contact between the Chairman and internal/external stakeholders.
- Coordinate meetings with senior executives, investors, clients, government officials, and business partners.
- Handle highly confidential business and personal information with absolute discretion.
- Manage personal appointments, reservations, and day-to-day administrative matters.
- Coordinate household services, personal errands, purchases, and family-related logistics as required.
- Liaise with lawyers, banks, consultants, accountants, travel providers, and other service professionals.
- Conduct research and prepare reports on various business and personal topics.
- Track deadlines and ensure all follow-up actions are completed on time.
- Support special projects and oversee ad hoc tasks as directed by the Chairman.
- Represent the Chairman professionally in meetings and communications when appropriate.
RequirementsEssential
- Minimum 5 years of experience supporting C-level executives, Chairpersons, CEOs, or high-net-worth individuals.
- Fluent English and Spanish (spoken and written).
- Exceptional organizational, planning, and time management skills.
- Excellent written and verbal communication abilities.
- Strong problem-solving skills and attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- High level of professionalism, integrity, and discretion.
- Proficiency in Microsoft Office, Google Workspace, and modern productivity tools.
- Valid passport and willingness to travel internationally on short notice.
- Ability to work versátil hours when business demands require.
