About The Role:

As VendueTech scales, we need someone to help our COO and Head of Ops keep the company running at full capacity across teams, processes, and people, making sure nothing falls through the cracks as we grow.

You'll work directly with our COO and Head of Ops, becoming the operational backbone that supports team leads, cross-functional projects, and the people processes that keep a fast-growing, fully remote team aligned. This isn't a narrow admin role as you'll own pieces of how the company actually runs.

Key Responsibilities:

Operational Support

- Support the COO and Head of Ops in driving operational excellence across cross-functional teams
- Support team leads with day-to-day coordination: calendars, 1-1s,



and all-hands meetings
- Help drive OKR tracking and reporting across the company
- Support our Ops AI Engineer and emerging functions as they stand up new workflows and tools
- Provide general staff support across new verticals, including content support for marketing and coordination support for grant writing efforts

Event Management

- Plan and execute event logistics from start to finish: venues, invites, materials, and follow-ups
- Own post-event follow-up discipline: notes, action items, and next steps

Fundraising Support

- Coordinate investor call scheduling and manage the logistics pipeline behind fundraising activity
- Support prep for investor meetings: brief materials, briefing packs, and scheduling coordination
- Maintain rigorous follow-up discipline across investor touchpoints on behalf of leadership

Back-Office Operations

- Administer vendor onboarding: paperwork, system access, and coordination across stakeholders
- Manage asset tracking and maintain accurate records across company tools and equipment
- Handle routine procurement: identify needs, gather quotes, process orders, and manage delivery

What you'll bring:

- Have prior experience in an operations, or chief-of-staff-adjacent role, ideally at a startup or fast-moving environment
- Obsessively organised and proactive:



you spot gaps before they become problems
- Clear, concise written communicator — comfortable drafting on behalf of leadership
- Able to context-switch quickly between detail-oriented admin work and higher-stakes coordination tasks
- Comfortable working with ambiguity and building structure where none exists

Bonus if you have:
- Experience organising events, or supporting executives with events as back-office support (organising meetings, follow-up notes, emails, social media)
- Experience supporting fundraising or investor relations processes
- Familiarity with tools like Outlook, Thunderbird, ClickUp, Notion Calendly, or similar productivity stacks
- Exposure to cross-border or multi-timezone team coordination
- Interest in real estate, data, or financial markets
