GREEN VALLEY SCHOOL MALLORCA SL is based out of CAMÍ DE LA VILETA, 210, PALMA, Illes Balears, Spain. The school is situated in the Greater Palma de Mallorca Metropolitan Area. We are looking for an enthusiastic and highly organised School Administrator who will play a key role in supporting the smooth day-to-day running of the school while delivering exceptional service to our families, students and staff.
The Role The School
Administrator is a vital member of the school's administrative team and serves as one of the first points of contact for parents, visitors and prospective families. The successful candidate will be professional, approachable, organised and able to manage multiple priorities while maintaining excellent attention to detail.
Key Responsibilities Reception & Customer Service
Provide a warm, professional welcome to all visitors, parents and students.
Sign in vistors to the school.
Answer telephone calls and respond to emails promptly and professionally.
Direct enquiries to the appropriate members of staff.
Maintain a professional reception area at all times.
Manage incoming and outgoing post and deliveries.
School
Administration
Maintain accurate student records and administrative databases (Alexia).
Prepare letters, certificates and school documentation.
Assist with attendance records and inform staff of daily absences.
Maintain late arrival records.
Create student allergy lists for the Kitchen.
Translate lunch menu´s on a monthly basis.
Support the organisation of school events, meetings and parent evenings.
Maintain confidential files in accordance with GDPR and school policies.
Create monthly lunch registers.
Follow up and track lunch payments.
File and monitor delivery notes.
Book School Trips and buses.
Report maintenance issues and coordinate repairs.
Prepare evacuation/emergency attendance lists.
Prepare student school certificates in English and/or Spanish.
Coordinate school and sibling photo sessions
Provide first aid and administer medication as instructed; inform staff and families of incidents.
Report incidents to the school insurance and complete accident forms.
Order office supplies and monitor stock levels.
Provide administrative support to the Leadership Team and Head of Admissions.
Maintain electronic and paper filing systems.
Manage student lockers, keys and records.
Prepare spreadsheets and administrative documentation before the new school year.
Supervise the Cleaning and Maintenance teams and keep relevant paperwork up to date
Assist with data entry and reporting.
Undertake additional duties appropriate to the role as requested by the School Leadership Team or Office Manager.
Admissions
Support (Assist Head of Admissions)
Assist in keeping records on Alexia up to date.
Add new students details to Alexia.
Forward admission enquiries on to Head of Admissions.
Support communication with new families before they join the school.
Parent
Communication
Respond to parent enquiries in a courteous and timely manner.
Assist with school communications.
Ensure information provided to families is accurate and up to date.
Build positive relationships with parents from a wide range of cultural backgrounds.
Person Specification
Essential
Must currently be residing in Mallorca.
Previous experience in an administrative, reception or customer service role.
Excellent organisational and time-management skills.
Outstanding communication skills, both written and verbal.
High level of attention to detail.
Strong IT skills including Microsoft Office (Word, Excel, Outlook and PowerPoint).
Ability to work independently and as part of a team.
Excellent interpersonal skills with a friendly and professional manner.
Ability to multitask and remain calm under pressure.
High level of discretion and confidentiality.
Fluency in English and Spanish is a must. Desirable
Previous experience working in an international or independent school.
Knowledge of school management systems such as Alexia.
Experience using Google Drive.
