Summary
Responsible for ensuring the smooth management of all HR, Office and Health and Safety matters within Pharm-Olam Spain.

To provide generalist HR support to the Spanish team and manage the associated administration. Provide support to the VP, Global Clinical Operations by operating as the focus for communication and provide essential general support services related to the management of the Spanish office
HR Support Duties
+ Provide general HR support to the Spanish team including assisting and providing guidance regarding any people issues
+ Maintain personnel files ensuring records are up to date and all contracts amendments are prepared and filed in a timely manner
+ Assist with recruitment of new starters including preparation of offer letter and obtaining relevant information and documents required for start of employment.
+ Work with the external HR consultant in the preparation of employee contracts until fully executed
+ Provide assistance with the induction of new starters
+ Manage benefits and ensure new employees are enrolled on applicable schemes and receiving applicable benefits
+ Monitor absence and annual leave ensuring sickness procedures are being adhered to
+ Conduct exit interviews for leavers and ensure all exit strategies are adhered to
+ Ensure Pharm-Olam Spain is compliant with changes in employment legislation collaborating with Global HR when specialist HR information is required
+ Ensure that Pharm-Olam Spain is compliant in data protection matters related to employee management and HR activities.
+ Coordinate all activities related to Prevention of Occupational Risks
+ Ensure the staff handbook and other relevant policies are updated when required
+ Collate employee payroll information and work with external payroll provider ensuring monthly salaries are managed accurately
Office Support duties
+ Providing facilities support for the Pharm-Olam Spanish office
+ Ordering and maintaining a good stock of all stationery/kitchen supplies for the Spanish office
+ Control and documentation of keys and equipment delivered to new joiners or any staff member and coordination and allocation of available parking places for staff.
+ Arrange any maintenance, repairs or cleaning needed for office equipment
+ Act as the office Pharm-Olam International (Spain) contact person with non-operational vendors, reviewing and analysing costs of agreed Spanish non- operational vendors when required
+ Completing and keeping updated any inventory of Pharm-Olam Spain & Portugal assets ( hardware, software, furniture, equipment, mobiles, VOIP numbers, parking places, etc.).
+ Ensure office equipment/ furniture is upgraded/replaced as required and internal systems are maintained
+ Ensure compliance with Health & Safety Regulation
+ Maintenance of list of emergency contacts for the employees.
+ Arrange notification of travel abroad to the social security
+ Assist with hotels for visitors to Pharm-Olam Spain office
+ Assist with the organization of events hosted by Pharm-Olam Spain (either in the office or at a different venue).
+ Manage and control all Pharm-Olam Spain associated corporate documentation
+ Provide support to VP, Global Clinical Operations related to all country management related tasks.
+ Manage Investigator and Site Payments
Working relationship
+ Report to the Senior HR Manager
+ Support the VP, Global Clinical Operations
+ Liaise with Global HR
+ Ideally HR or Office Management certified
+ Relevant HR and office management experience
+ Strong organisational skills
+ A high level of emotional intelligence
+ Excellent written and oral communication skills.
+ Fluency in written and spoken English.
+ Excellent computer skills
