We offer an opportunity you simply won’t find anywhere else. In less than six years, Mileway has grown into Europe’s leader in last mile logistics real estate, with a 550-plus team across twenty seven offices in eleven countries.
OVERVIEW
We are looking for a new Accounts Payable Operations Analyst to join our Mileway Valencia team.
In addition to executing Mileway’s AP function (invoice booking, vendor and query management), the AP Operations Analyst improves how the Mileway’s Accounts Payable processing runs. The core of the role is diagnosing where manual effort and recurring exceptions come from, then designing and implementing automation to remove them as invoice volume grows. The Analyst is also the designated backup to the Supervisor for day-to-day operations.
WORKING AT MILEWAY
Mileway is Europe’s leading owner and manager of last-mile logistics real estate. Launched in 2019, we have grown into a team of more than 550 people, representing over 50 nationalities, with more than 20 offices across 11 countries.
Our purpose is to be Europe’s leading provider of last-mile logistics real estate, enabling businesses to thrive, driving sustainability forward and shaping the cities of tomorrow.
Our international team combines local market knowledge with the scale and expertise of a pan-European business. We are collaborative, pragmatic and ambitious, and we encourage our people to take ownership, share ideas and continue developing.
Our values; Drive, Trust, Grow and Together, guide how we work with one another, our customers and our partners.
Your home base will be our Valencia office, where we currently work together at least three days per week.
We will provide you with the technology and support you need to work effectively and lead this transformation.
KEY RESPONSIBILITIES
Automation and process improvement
- Analyse processing data to identify where manual touch, rework and recurring exceptions originate (by vendor, invoice type, entity and exception category) and size each opportunity
- Design, build and implement improvements: auto-booking rules, coding and matching logic, workflow configuration and tooling changes
- Test changes before go-live, monitor their impact afterwards, and resolve issues that arise
- Track auto-booking rate and manual-touch metrics and report progress to the Supervisor
- Work with Business Services, Cash Management and the wider business to fix master data issues that block straight-through processing
- Document processes, work instructions and rule configurations so automation remains controlled and auditable
Backup to the Supervisor
- Cover the Supervisor’s day-to-day duties during absence: monitor the processing queue, allocate work, clear blockers and handle escalations from Administrators and Senior Administrators
- Resolve complex or disputed invoices and vendor queries, escalating to the Supervisor where outside agreed thresholds
- Prepare AP operational KPI data and commentary (backlog, cycle time, exception rate)
for the Supervisor
- Apply anti-fraud and assurance controls in daily processing and flag control gaps or suspicious items
- Guide Administrators and Senior Administrators on process and system questions (no formal line management)
WHAT SUCCESS LOOKS LIKE
- Auto-booking rate and share of invoices processed without manual touch increase quarter over quarter
- Recurring exception types are root-caused and eliminated rather than repeatedly worked around
- Automation changes are documented, tested and stable, with no regression in accuracy or controls
- The Supervisor can step away knowing the queue, escalations and reporting continue without disruption
REQUIREMENTS & EXPERIENCE
- 3+ years in AP or shared-services finance operations
- Hands-on experience with an AP/ERP platform (e.g. Basware, Yardi, Dynamics or similar), ideally including rule or workflow configuration
- Strong data analysis skills (advanced Excel; SQL or BI tooling a plus) and a track record of turning findings into process improvements
- Experience implementing and/or testing new system functionalities and automations
- Working knowledge of AP controls and payment fraud risks
- Clear communicator, comfortable handling vendor and internal requests and escalating when required
- Prior team lead experience not required; experience guiding junior colleagues is a plus
If this sounds like a nice next challenge for you, we are looking forward to reviewing your application!
Our vision is to be the number one gateway to urban communities. To get there, we live our values: Drive, Trust, Grow, Together.
