About Luxehouze Luxehouze is a fast-growing omnichannel luxury marketplace operating across Indonesia and Singapore, serving high-value customers in watches, fashion, and beauty. We operate in an environment where trust, speed and excellence matter, and where outcomes matter more than activity. We are looking for a Freelance Fashion Ops & Authenticator, who takes responsibility naturally, thinks in outcomes and wants to build, improve, and scale — not just “execute tasks.” What Will Be Challenging Please read this carefully
- it’s here to help you self-select.
• Expectations are high and visible
• Problems may be ambiguous and fast-moving
• Priorities can change as the business scales
• Feedback is direct and frequent
• Performance is measured by results, not intentions
• If you require rigid structure, narrow scope, or close supervision to perform well, this environment may not be a good fit.

Responsibilities:
• Authentication
• Authenticate luxury items, including bags, shoes, ready to wear, small leather goods and accessories, across multiple brands (e.g., Hermès, Chanel, Louis Vuitton, Dior, Gucci, Prada, Celine, Bottega Veneta).
• Inspect key authentication markers, including materials, stitching, hardware, engravings, date codes, serial numbers, microchips, heat stamps, labels, and packaging.
• Use authentication tools and references such as UV light, loupes, digital microscopes, brand reference libraries, and third-party authentication services when needed.
• Escalate questionable or high-value items to senior authenticators or external partners for a second opinion.
• Reject counterfeit or unverifiable items and document the findings clearly. 2. Condition Assessment & Grading

• Assess the condition of each item, including wear, scratches, stains, odor, corner rubbing, hardware tarnish, structural shape, and interior condition.
• Assign accurate condition grades based on the company's grading standard (e.g., New, Pristine, Excellent, Very Good, Good, Fair).
• Record all defects and flaws with clear photos and written descriptions to support transparent product listings.
• Identify the completeness of each item, such as dust bag, box, receipt, authenticity card, strap, lock, keys, and other accessories.
• Recommend items for cleaning, spa treatment, or repair when appropriate. 3. Quality Control (Inbound & Outbound)
• Perform daily inbound QC
• Perform outbound QC before items are shipped to customers or transferred to retail stores. This includes checking authenticity tags, condition consistency, completeness and packaging standards.
• Make sure the item condition matches the grade and listing description at both receiving and dispatch.
• Investigate and document discrepancies, damage or mismatches and report them to the relevant teams.
• Maintain accurate QC records and authentication reports in the inventory system. 4. Cross-Functional Collaboration
• Warehouse Operations: Coordinate on receiving flow, storage handling, tagging, and dispatch timelines to keep QC from becoming a bottleneck.

• Merchandiser: Provide authentication results, grading, and condition notes to support pricing, listing accuracy and assortment decisions. 5. Market & Counterfeit Knowledge
• Stay up to date on counterfeit trends, "superfake" developments and changes in brand authentication features.
• Monitor new collections, production changes and brand specific details (e.g., changes in date codes to microchips).
• Share knowledge with the team through regular updates, training sessions or internal reference materials.
• Build and maintain an internal authentication reference library (photos, comparison guides, and case notes). 6. Documentation & Compliance
• Issue internal authentication certificates or reports according to company procedure.
• Keep all authentication decisions traceable and well documented for audit and dispute resolution.
• Handle high value items with care and follow security and handling procedures at all times. Requirement &

Qualifications:
• Minimum 1–3 years experience in luxury retail, authentication, resale or quality control
• Strong knowledge of luxury brands (bags, shoes, RTW and accessories)
• Ability to identify authentic vs counterfeit products across multiple brands
• High attention to detail and strong analytical skills
• Familiar with material types (leather, textiles, hardware finishes)
• Able to assess and grade product condition accurately
• Organized and disciplined in documentation and data entry
• Comfortable working in a fast-paced operational environment
• Strong integrity and sense of responsibility
• Good team player with clear communication skills
