Position Summary The Expediting & Logistics Coordinator follows each assigned purchase order from award to receipt at site, making sure that owner-furnished equipment and critical materials for the Badajoz data center campuses are manufactured, inspected, shipped and delivered on time and in good condition. Based in Madrid, the role is the day-to-day contact of suppliers, freight forwarders and inspection agencies for everything related to order status, inspections and deliveries, and the link between the central procurement team and the site-based Warehousing function that physically receives the goods.
Reporting to the Supply Chain Manager and assigned to a group of equipment packages or to one of the sites (BAZ 1 or BAZ 2), the role maintains the expediting and delivery trackers, organises FAT and pre-shipment inspections, coordinates transport and customs documentation, schedules deliveries with the site Warehousing team and keeps SAP and the material-readiness reporting up to date.
Responsibilities
Reporting to the Supply Chain Manager, the Expediting & Logistics Coordinator is responsible for:
- Expedite assigned purchase orders with suppliers: confirm order acknowledgements, production schedules and sub-supplier status, follow up engineering-document submittals, hold regular progress calls and visits, and report deviations against the need-at-site date with proposed recovery actions.
- Coordinate inspections and tests: plan FAT and pre-shipment inspections with suppliers, Engineering/Quality and third-party inspectors, track inspection and test plans and witness points, follow up non-conformities and obtain release-for-shipment documentation.
- Organise inbound logistics for assigned orders:
transport booking with forwarders, Incoterms and packing/lifting requirements, route and permit coordination for oversized loads, shipping and customs documentation, insurance and delivery appointments with the site.
- Coordinate site receiving remotely with the Warehousing team: confirm delivery appointments, provide packing lists and purchase-order details in advance, follow up receiving reports and damage or shortage findings, raise claims to suppliers, forwarders or insurers and ensure goods receipts are correctly recorded in SAP.
- Maintain the expediting, inspection and delivery trackers and feed the weekly material-readiness report and dashboard of the Supply Chain Manager; flag at-risk items and critical-path deliveries early.
- Collect and file supplier documentation required for installation, commissioning and handover (certificates, test reports, manuals, as-built drawings, CE/EU declarations) and ensure it is complete before equipment is released to the contractors.
- Support the Procurement Managers with order-related issues (delivery date changes, partial shipments, substitutions, invoice/receipt mismatches) and coordinate with Finance on goods-receipt and payment-milestone evidence.
Requirements
- Technical degree or higher vocational qualification in Logistics, Industrial/Electrical/Mechanical Engineering,
International Trade or a related field.
- 3–5 years of experience in expediting, project logistics, procurement operations or site materials management for construction, energy or industrial projects; data center experience is a plus.
- Familiarity with electrical and mechanical equipment typically used in data centers or industrial plants (transformers, switchgear, UPS, gensets, chillers, piping, IT racks) and with the documentation that accompanies them.
- Knowledge of Incoterms, transport and customs documentation and, ideally, of oversized/heavy-transport logistics within Spain and from abroad.
- Proficiency in SAP MM (purchase orders, goods receipt) or a comparable ERP and advanced Excel; experience with inspection or document-control tools is valued.
- Organised, rigorous and persistent, with good communication skills to deal with suppliers, forwarders, inspectors and site teams.
- Fluent Spanish and professional English are required; based in Madrid, with availability to travel to supplier factories (in Spain and abroad) for inspections and to visit the Badajoz sites periodically.
- Driving licence; HSE induction and PPE required for factory and site visits.
