Logistics Coordinator – Fresh Produce (Barcelona)

We are an international fresh fruit trading company with over 20 years in the market, based in Barcelona (Gràcia). We source from Spain, Eastern Europe, South America and East Africa, and supply importers and retailers across the the world.

We are looking for a Logistics Coordinator to own the end-to-end flow of our shipments by sea, air and road. You will join a small, fast-moving international team where your work has a direct impact on results. Our day-to-day operations are heavily supported by AI: many of our workflows, from shipment tracking and documentation to cost control and collections, are automated and monitored with AI tools working alongside our in-house ERP.

What you will do

Shipment operations

- Book refrigerated containers, air cargo and long-haul reefer trucks with shipping lines, airlines, forwarders and carriers.
- Track every shipment daily and anticipate delays, rollovers and transshipment issues. Find solutions and keep clients and the sales team informed.
- Monitor cold-chain conditions, including real-time temperature trackers, and act quickly on any deviation.

Documentation

- Issue shipping instructions and check BL/SWB, AWB, phytosanitary certificates, certificates of origin and packing lists for full consistency.
- Send pre-alerts and dispatch original documents by courier.
- Handle client requests for document amendments or destination-specific requirements.
- Release original documents or telex release only once the payment due against documents has been received.

Costs and suppliers

- Request and negotiate freight rates, and keep sea, air and truck tariffs up to date.
- Review and approve invoices from logistics providers against what was agreed.
- Negotiate,



track and recover rebates with shipping lines and forwarders, and record them per shipment.

Claims

- Build and file cargo claims against carriers and insurers within deadlines, gathering surveys, temperature records and documentation, and follow them through to recovery.

Systems

- Work daily with AI assistants and automated workflows, review their output, and help us identify new processes that can be automated.

Support to the business

- Support sales with logistics input for quotations and offers.
- Support finance with credit-limit checks before shipment and follow-up of unpaid invoices and insurance claims.
- Help coordinate our participation in international trade fairs.
- Guide and train logistics interns.

What we are looking for

- 1+ years in international logistics or freight forwarding, ideally with perishables or reefer cargo.
- Hands-on knowledge of Incoterms (FCA, EXW, CFR), sea and air export documentation, and phytosanitary requirements.
- Fluent English and Spanish, written and spoken. Russian, Ukrainian, Polish or Serbian is a strong plus.
- Comfortable with ERP systems and advanced Excel or Google Sheets.
- Hands-on experience using AI tools (e.g. ChatGPT, Claude, Copilot) in your daily work is highly desirable. Curiosity and willingness to work in an AI-first environment are essential.
- Self-driven, organized, a fast learner, and able to stay calm and solution-oriented under pressure.

What we offer

- Permanent contract and a key role in a growing international company.
- Fully on-site at our office in the Gràcia neighbourhood of Barcelona (no remote or hybrid work), Monday to Friday, 8:00–17:00.
- Gross annual salary: €34k, depending on experience.
- Availability: immediate.
