Company DescriptionMetapilot Academy develops future-focused education and community initiatives for working professionals and emerging leaders in aerospace, AI, VR, neurotechnology and mobility.

Through our education programmes and Barcelona Techies community, we connect learners, researchers, founders, professors and industry professionals through masterclasses, networking activities, technology events and practical learning opportunities.

Our activities combine education, entrepreneurship and industry engagement, including programme information sessions, expert-led discussions, networking events and Demo Day presentations.

Role DescriptionWe are seeking an experienced, proactive Admissions & Events Coordinator who can generate paid student registrations, sell event tickets and independently organise high-quality events within an agreed scope.

This is a commercial delivery role—not simply an administrative position or an opportunity to attend networking events. You must actively find prospects, follow up, close sales and deliver events that participants value enough to recommend and attend again.

You will coordinate admissions, event delivery, speakers, professors, community outreach and student onboarding. You will report commercial results directly to the CEO through accurate records and regular KPI updates.

The initial engagement is a part-time consultancy. A potential move to full-time employment depends on demonstrated, sustained sales performance and reliable delivery. It is not automatic, based on time served or guaranteed by joining the organisation.

Primary ResponsibilitiesEducation sales and admissions

- Generate qualified prospects through targeted outreach, referrals, partnerships, community engagement and event follow-up.
- Manage the admissions pipeline from first enquiry through paid registration and onboarding.
- Explain programme content, pricing and application requirements accurately using approved materials.
- Conduct prospect calls and meetings, address objections professionally and follow up consistently.
- Convert qualified prospects into paying students.
- Maintain complete CRM records covering lead sources, next actions, conversion stages and payment status.
- Coordinate registration documentation, payment follow-ups and student onboarding.
- Build repeatable recruitment channels rather than relying exclusively on incoming enquiries.

- Event-ticket sales and event delivery

- Propose, organise, promote and deliver relevant technology and education events.
- Identify and secure credible speakers, professors, founders and industry professionals.
- Coordinate venues, speakers, registration pages, materials and operational arrangements.
- Create and maintain listings on Luma,

Meetup and other agreed platforms.
- Actively sell tickets through direct outreach, community channels, referrals and partner promotion.
- Attend assigned in-person events and coordinate setup, check-in, speaker support and closeout.
- Support online events through technical preparation, moderation and participant communications.
- Follow up with attendees to generate repeat ticket purchases, referrals and programme enquiries.
- Track attendee satisfaction and resolve service issues professionally.

The event calendar and delivery volume will be agreed to fit the initial consultancy scope. Any expanded full-time scope will be agreed separately. Marketing and community activation
- Produce clear event descriptions, programme promotions, outreach messages and follow-up communications.
- Create practical content, including speaker features, short videos, photographs and event recaps.
- Activate existing community channels and develop additional relevant relationships.
- Arrange cross-promotion with speakers, venues, professors and partners.
- Measure marketing through qualified enquiries, paid conversions and qualifying profit—not follower counts alone.
- Work resourcefully within agreed budgets.

You must be able to initiate outreach and generate sales without assuming a large advertising budget, a dedicated marketing team or another person doing your prospecting and follow-up. Any paid campaigns or additional resources require prior approval. Student, professor and partner coordination
- Maintain professional communication with prospective and enrolled students.
- Coordinate professor and speaker availability, materials and agreed contributions.
- Keep participants informed and ensure a welcoming, organised experience.
- Collect feedback and propose practical improvements.
- Complete agreed administrative and coordination deliverables connected to programmes and events.

Commercial Accountability and CEO ReportingThe expectation is clear: generate paid sales and deliver the agreed work.

Activity alone is not sufficient. Posting content, attending meetings or sending messages must contribute to a credible pipeline, paid conversions or successful event delivery.

Bring facts, options and proposed solutions—not repeated excuses or requests for someone else to take over your responsibilities. Necessary clarification and prompt escalation of customer complaints, payment issues, safety concerns and other material risks remain essential.

Working Standards and AuthorityWe expect you to:

- Take initiative and complete agreed deliverables without repeated reminders.
- Organise routine work independently within the services agreement.
- Maintain accurate records and report results honestly.
- Meet deadlines and communicate promptly when delivery is at risk.
- Accept feedback professionally and implement agreed corrections.
- Treat students, professors, speakers, attendees and colleagues respectfully.
- Protect confidential information and personal data.

This is not a CEO,

director or independent company-strategy role. The CEO approves company priorities, budgets, commercial terms and commitments. Mandatory Qualifications
- Demonstrable experience generating paid student enrolments for private schools, academies or paid education programmes.
- Demonstrable experience delivering events and generating paid-ticket sales.
- A portfolio containing numerical results and a clear explanation of your individual contribution.
- Strong prospecting, follow-up, objection-handling and closing skills.
- Practical competence with CRM systems, event-registration platforms, spreadsheets and content tools.
- Strong organisation, written communication and professional interpersonal skills.
- Ability to coordinate students, professors, speakers, venues and partners reliably.
- Fluency in English; additional languages are welcome.
- Verifiable references from previous direct managers or clients.

This is not an entry-level training opportunity. Applications without relevant experience and supporting evidence will not progress. Eligibility and EngagementApplicants must already be legally entitled to perform the proposed services in Spain, including self-employed activity where applicable, and be able to issue compliant consultancy invoices with the appropriate registrations in place.

This opportunity does not offer visa sponsorship, immigration assistance or a promise of future employment. Eligibility is assessed according to the proposed work in Spain—not nationality or personal background.

Compensation and Potential Full-Time EmploymentThe initial consultancy fee, service scope, invoicing schedule and agreed deliverables will be documented before the engagement begins.

Additional compensation is 20% of qualifying profit from eligible event-ticket sales and student registrations attributed to your work.

Commission is calculated on profit, not gross revenue. The written agreement will define eligible sales, attribution, deductible costs, payment timing, refunds, cancellations, shared sales and post-termination payments.

A potential transition to full-time employment will be considered only where you demonstrate:

- Sustained paid student registrations and event-ticket sales.
- Commercial results against agreed targets.
- Reliable, high-quality event delivery.
- Accurate reporting and disciplined follow-up.
- Professional student and participant support.
- Sufficient business demand to justify a full-time position.

Time spent in the role does not, by itself, qualify you for full-time employment.

Application RequirementsSubmit

1. Your CV and availability for the Barcelona-based engagement.
2. Confirmation that you can lawfully perform the proposed consultancy services in Spain and issue compliant invoices.
3. At least two event examples showing your responsibilities, paid tickets sold, attendance, revenue and profit where available. Private-education sales examples showing programme price, leads handled, paid enrolments, conversion rate and your individual contribution. Supporting portfolio evidence, such as anonymised CRM reports, ticket-platform reports or campaign results.
4. Two direct-manager or client references, to be contacted with your permission.
5. A short explanation of how you would generate student registrations and ticket sales using direct outreach, referrals, partnerships and limited paid marketing.
