Executive Assistant to President International Company
Coordinate and manage a highly dynamic and complex calendar, ensuring effective prioritization of meetings, travel, events, and executive engagements. This includes supporting the President in managing competing priorities and optimizing the use of executive time.
Track decisions and action items arising from meetings, monitor and follow-up on the actions arising from meetings and key business initiatives, ensuring timely completion and coordination among stakeholders.
Prepare, review, and coordinate executive presentations, reports, correspondence, briefing materials, executive summaries and other business documentation.
Draft and review executive communications, announcements, and presentations.
Serve as a primary liaison between the President and members of the European Strategic Leadership Team, Corporate Headquarters executives, Board members, and other senior stakeholders.
Coordinate interactions with internal and external stakeholders, ensuring timely responses and effective follow-up.
Build and maintain strong professional relationships across all levels of the organization, fostering collaboration and alignment.
Handle highly confidential corporate, business, and people-related information with absolute discretion and integrity.
Coordinate visits from senior executives, directors, international delegations, customers, governmental representatives and external stakeholders,
ensuring that they reflect President's highest standards of professionalism, protocol, and corporate representation.
Plan, organize, and coordinate company events, leadership meetings, executive committee sessions, and high-profile corporate events.
Manage all aspects of executive hospitality, including business lunches, dinners, receptions, and networking events.
Oversee venue selection, premium catering, transportation, accommodation, meeting logistics, and event execution.
Manage travel arrangements for the President and, when required, other senior executives, including end-to-end coordination of travel logistics, flights, accommodation, ground transportation, travel documentation, and executive itineraries. This includes arranging premium travel solutions, including private aviation and specialized transportation services when required.
Anticipate and proactively resolve travel-related issues to ensure seamless business continuity.
Manage executive expenses and supporting documentation in compliance with company policies and procedures.
Handle highly sensitive and confidential information with discretion and professionalism.
Maintain organized records, files, and documentation related to the Office of the President.
Permanent contract
Salary: €75,000 gross per annum + benefits package
Working hours: 9:00 a.m. to 6:00 p.m. (shorter working day on Fridays)
High level of availability and flexibility, including 24/7 support when required
