Role: Manage the daily operation of room rentals, from finding suitable tenants and processing bookings to coordinating arrivals, departures, payments, cleaning and tenant support. Help improve occupancy, rental income and operational efficiency.
Main responsibilities
Tenant enquiries and recruitment
- Find prospective tenants through Facebook groups, rental platforms, university contacts and other relevant channels.
- Respond to enquiries, share accurate room information and follow up with interested applicants.
- Review applications and required documents against approved tenant criteria.
- Explain prices, fees, deposits, facilities and house rules clearly before booking.
Bookings and cancellations
- Check room availability across apartments, booking platforms and calendars.
- Prepare offers and contracts using approved templates and obtain required signatures.
- Verify payments before confirming bookings.
- Process cancellation requests, date changes and early departures according to the agreed terms.
- Refer disputed refunds or deposit deductions to the manager.
- Update availability promptly and seek replacement tenants for cancelled bookings.
Check-ins, check-outs and cleaning
- Coordinate arrival and departure times, inspections and key handovers.
- Organise cleaning schedules across apartments and rooms.
- Ensure cleaners have keys, supplies and clean bedding, and know their tasks and deadlines.
- Record room conditions, missing items, damage and maintenance needs.
- Confirm rooms are ready before the next tenant arrives.
Tenant management and complaints
- Maintain clear,
professional communication with tenants throughout their stay.
- Share house rules, payment reminders and notices about visits or maintenance.
- Record complaints, coordinate solutions and follow up until resolved.
- Escalate serious or repeated issues to the manager.
- Keep agreements in writing and protect tenant information.
Payments, dashboards and reporting
- Track rent, administration fees, deposits, outstanding balances and payment deadlines.
- Keep the booking and financial Dashboard accurate and current.
- Follow up on overdue payments and report discrepancies.
- Prepare regular occupancy, income, expense and budget updates.
- Identify upcoming vacancies and take action early to reduce income gaps.
Business development and expansion
- Build relationships with universities, employers, relocation services and other referral partners.
- Maintain accurate listings and improve visibility across rental platforms.
- Identify opportunities to increase occupancy, secure longer stays and reduce avoidable costs.
- Recommend improvements to pricing, marketing and booking processes for management approval.
- Research potential new rental properties or partnerships and present their likely costs, income and operational requirements.
Required skills and experience
- Experience in rental administration, property management, reservations or a similar coordination role.
- Strong organisation, follow-up and customer service skills.
- Ability to manage several rooms, apartments and tenant requests at the same time.
- Confidence using Excel or Google Sheets, WhatsApp, email and booking platforms.
- Careful handling of payments, documents and personal information.
- Ability to work independently, prioritise tasks and raise problems early.
- Clear written and spoken English; Spanish is an advantage.

- Rooms prepared on time for arrivals.
- Payments tracked and overdue amounts followed up promptly.
- Fewer vacancy gaps and stronger occupancy.

- Tasks completed with initiative and minimal repeated reminders.
Decision-making authority The coordinator manages routine work using approved prices, contracts, policies and procedures.
