- the GREF (Global Real Estate & Facilities) Sourcing Specialist will coordinate the completion of construction RFP/RFI documents, their submission, comparison and analysis to support negotiations executed by Procurement and team decision making.
After decision, the role might support in communication to finalize contractual documents, ensure proper documentation and internal communication.
The role is dedicated to one of our biggest Customers
- approx.
120 projects per year.What this job involvesRunning centralized and integrated tender processes (RFI/RFPs) on Client’s procurement web platform.
Maintaining Vendor Data Base for EMEA Region and related documentation.
Responsibilities are split at Project Level and Portfolio Level.Portfolio Level ResponsibilitiesSupport Sourcing activities workload.Developing and maintaining vendors’ databaseLiaise with clients procurement and legal team to set up and improve Sourcing and Procurement processSupport operations to stick to project schedule for Procurement activitiesProcurement Support of project cost developmentMaintain day-to-day relationships with vendorsProvide guidance for Program Managers on Sourcing and Procurement process tools, procedures, policiesSupport D&C; Program Managers with expertise on RFP specifications completeness and coordinate timelinesParticipate and contact in training of employees as well as e-training of business owner for procurement tools roll‑outWork in full compliance with the company Spending and Transaction policyProject Level ResponsibilitiesSupport on Project Sourcing Strategy selection aligned with Client’s proceduresSupport on getting necessary legal templates to go out to tenderSupport the following project sourcing processes: Design, Project Management, Cost Management,



General Contractor, Subcontracted packages, other consultantsProviding necessary benchmarking and capturing information to support Design and Construction TeamManage RFP/RFI PackagesSubmit RFxs in client’s procurement toolCreate bidders’ proposal comparisons and support proposal evaluation up to completionSupport contractor bidding processParticipation on vendor cost negotiation (based on cost tool, related to budget and CAPex)Participation on defining vendor bidding listsParticipation on contractor subcontract negotiationsSupport on Legal agreements completion: commercial terms and appendixesControl if project Costs of Works are at or below approved budgets or estimated budgetsClient presentations to demonstrate value for money & savings achieved from the programLiaison with JLL’s other client account teams to gather best practiceAll additional duties commensurate to the level of the role.
Every day is different, and in all these activities, we’d encourage you to show your ingenuity.Sound like you?Essential Requirementsminimum of 3 – 5 years’ experience in procurement (RFP/RFI/RFQ document creation, use of Procurement tools (e-bidding platforms), proposal evaluation, contract and/or vendor management)Bachelor’s degree in a numerate or engineering disciplinePreferred Requirementsknowledge of office fit-out projects construction supply chainminimum 3 – 5 years’ experience of sourcing activities for multiple construction projects simultaneously for large corporate clients; ideally fast track office fit-out, commercial refurbishment and M&E; upgrade projectsformal Quantity Surveyor / cost management qualificationAdditional SkillsExcellent negotiation skillsOutstanding problem solvingStrong communication skills (English mandatory, any other EU language required, DE, FR, IT, ES, PL is a plus)Ability to manage multiple work assignments simultaneously, manage multiple or conflicting priorities, and handle a high-pressure working environmentOutstanding client relationship management skills with great client focusOutstanding analytical ability, attention to detail and organizational skillsExcellent numerical, commercial and financial acumenAdvanced Excel skills with good Word, PowerPoint and Microsoft Project skills; knowledge and experience in using online collaboration tools, cloud content management and file sharing service platformsFamiliarity with AI and automation toolsCandidate must demonstrate personal impact and gravitas,
