About the Role
We are looking for a highly organized Retail Visual Merchandising & Production Coordinator to support beauty and retail launches across local and international markets.
The successful candidate will coordinate the end-to-end delivery of visual merchandising materials, from the initial briefing, layouts and prototypes through supplier production, purchase order preparation, logistics, in-store installation and launch readiness.
The adecuado candidate combines strong project coordination skills with visual merchandising knowledge, commercial awareness and the ability to manage multiple stakeholders, suppliers and deadlines simultaneously.
Key Responsibilities
- Coordinate the production of retail visual merchandising materials, including cassettes, gondolas, backwalls, labels, lightboxes, furniture and other point-of-sale (POS) materials.
- Translate briefs into layouts, planograms, prototypes and production-ready technical requirements for beauty retail environments.
- Manage supplier communication, quotation requests, cost follow-up, prototype reviews and production timelines.
- Coordinate internal approvals with Brand, Commercial, Visual Merchandising, Supply Chain and Purchasing teams.
- Prepare and maintain the information required for Purchase Orders (POs), including internal codes, EAN/product data, forecasts, pricing and Excel-based tracking files.
- Follow up on supplier production, warehouse receipt, dispatches, shipment tracking and store distribution.
- Coordinate installation teams, store access, installation readiness and the implementation of point-of-sale materials across retail locations.
- Confirm that materials have reached stores before launch and support the resolution of delivery, production or installation issues.
- Adapt visual merchandising briefings and material requirements to different international and local markets, including Southern Europe and other global markets.
- Maintain accurate and up-to-date launch documentation, including distribution files, visual guidelines, implementation photos and rollout status updates.
- Manage multiple launches and projects simultaneously, identifying risks, dependencies and approval delays at an early stage.
End-to-End Production Workflow
- Manage the complete display production process: briefing, design, prototyping, quotations, approvals, purchase orders, production and delivery.
- Coordinate prototypes, samples, final artwork and production-ready files with suppliers and internal stakeholders.
- Support in-store implementation by ensuring that materials are produced and delivered to the warehouse or relevant locations.
- Coordinate with production, purchasing, logistics and other stakeholders to ensure the timely delivery of retail/visual merchandising materials.
Cross-Functional Collaboration
You will work closely with Brand, Commercial, Visual Merchandising, Supply Chain, Purchasing, Logistics and Retail teams, as well as external production, installation and transportation partners.
The role involves coordinating launches across different retail chains and markets, including Arenal, Primor, El Corte Inglés, Nocibé, Manor and Sephora.
What We Are Looking For
- Experience in visual merchandising, retail production, trade marketing,
retail operations or a similar coordination role.
- Experience managing physical retail materials from concept or prototype through production and store delivery.
- Strong project management and follow-up skills, with excellent attention to detail.
- Confidence and ability to coordinate suppliers, installers and multiple internal stakeholders.
- Ability to manage budgets, purchase orders, costs, timelines and operational documentation.
- Excellent organizational skills and the ability to prioritize multiple projects, launches and deadlines.
- Strong proficiency in Excel and structured tracking files; experience with Asana or similar project management tools is a plus.
- Strong written and verbal communication skills.
- A proactive, solution-oriented approach to resolving production, logistics and installation issues.
- Experience in beauty, cosmetics, fashion or multi-site retail is desirable.
Particularly Valued
- Experience developing retail and visual merchandising elements for in-store implementation.
- Technical knowledge to create VM sketches, final designs, mock-ups and technical drawings.
- Ability to design retail units such as cassettes and temporary displays.

- Suppliers, purchasing teams, logistics and installation partners have all the information they need at each stage of the process.
- Store rollouts are accurately coordinated across different markets and retail chains.

- Launch documentation and distribution data remain accurate, complete and easy for all stakeholders to use.
