Job Description and tasks
We are looking for an enthusiastic Executive & Accounting Assistant to join a role that offers hands-on training and the opportunity to grow into an all-round Administrative & Executive Assistant.
During the initial phase, you will be based at Droia Ventures in Zaventem, where you will gain practical experience in administration, executive and accounting support. Working closely with the team, you will develop a thorough understanding of daily operations and the processes behind the scenes, building the skills and confidence to take on broader responsibilities.
Your tasks will include supporting accounting processes, managing contracts with vendors and service providers, coordinating office supplies and maintenance, welcoming visitors, organising meetings and events, arranging business travel, and assisting management with meeting preparation and follow-up.
From September 2027, you will transition to a role at one of DROIA’s portfolio companies, based at the Bio-Incubator in Leuven.
Drawing on the experience gained at DROIA, you will independently coordinate day-to-day office operations and provide administrative and executive support to the team.
In this second phase, you will report directly to the portfolio company’s CEO and play an active role in the daily life and continued growth of the company.
Accounting and finance support
- Register and process supplier invoices and expense claims, allocating them to the appropriate budget lines.
- Check invoices against contracts and purchase orders, and follow up on discrepancies.
- Coordinate invoice approvals and prepare documentation for payment.
- Maintain the purchase order database and keep financial records up to date.
- Support day-to-day bookkeeping and reconcile corporate credit card statements.
- Prepare documentation for internal and external audits.
- Liaise with suppliers and colleagues to resolve invoicing and payment queries.
Administrative and office support
- Maintain organised digital records, including contracts, confidentiality agreements and other company documents.
- Coordinate with office suppliers, the IT partner and building management, following up on requests and outstanding issues.
- Order office supplies and monitor stock levels.
- Handle incoming calls, correspondence and general enquiries, and welcome visitors.
- Arrange meetings, catering and company events.
- Coordinate travel and conference bookings, including flights, accommodation and local transport.
- Support calendar management, maintain shared contact lists and prepare meeting minutes when required.
- Identify practical improvements to administrative processes and take on additional responsibilities as the role develops.
- Manage and maintain company IT platforms and tools, ensuring appropriate access, licenses and user settings.
Your profile
- Previous experience in administrative support, accounting support or a similar role.
- A working knowledge of basic accounting processes, including supplier invoices, expense claims and purchase orders.
- Fluent in Dutch and English, both written and spoken
- Good knowledge of Microsoft Office, particularly Excel and Outlook; familiarity with accounting software is an asset.
- An accurate and structured approach, with strong attention to detail.
- Good planning skills and the ability to prioritise tasks and meet deadlines.
- A sense of ownership: you follow through on outstanding matters and ask for clarification when needed.
- A discreet and trustworthy approach to confidential financial and company information.
- A adaptable, positive mindset and a willingness to support colleagues across different tasks.
