Job purpose: This role supports the mission's procurement and logistics activities, ensuring compliance with IOM's policies and procedures. The position involves managing the acquisition of goods and services, maintaining inventory, and facilitating the distribution of non-food items. The jobholder will contribute to the efficient operational support of the mission by ensuring timely and accurate procurement processes, effective warehouse management, and proper documentation. This role is crucial for the smooth functioning of the mission's logistical operations, directly impacting the support provided to beneficiaries and the overall effectiveness of IOM's projects. The position requires meticulous attention to detail and adherence to administrative standards.

Responsibilities: Procurement: Support mission procurement activities, including requesting quotes, managing service agreements, and delivering goods/services per IOM policies. Ensure compliance with administrative procedures for tracking, bidding, evaluation, and ordering. Conduct market research and small purchases for urgent needs. Gather and track requisition information.



Coordinate and monitor the delivery of acquired goods and services, verifying terms and specifications. Liaise with Logistics for delivery updates. Provide administrative and documentation support for procurement. Assist in evaluating suppliers based on reliability, quality, price, and timeliness. Prepare payment documentation and coordinate with Finance. Maintain updated transaction records and an adequate filing system. Report on current or potential issues and propose improvements. Warehouse and NFI Distribution: Support the management and distribution of goods and non-food items (NFI). Prepare transfer and delivery documents. Maintain updated inventory records and support the management of goods, NFI, and fixed assets. Comply with administrative procedures for stock control and maintenance. Report on storage, inventory, or distribution issues and propose improvements. Perform other related duties as assigned.

Education: A university degree from an accredited institution in Business Administration or a relevant discipline with three years of relevant professional experience, OR a secondary education qualification with five years of relevant professional experience.

Work experience: Relevant professional experience in logistics, procurement, warehousing, supply chain, or operational support in humanitarian settings is required. Familiarity with UN policies and regulations is necessary. A valid Spanish driver's license for passenger cars is also required. Proficiency in Microsoft Office and office software packages is essential.

Skills: Proficiency in Microsoft Office and office software packages. Proactive problem-solving ability. Fluency in Spanish and English is mandatory. Knowledge of other UN languages is a plus.
