Freelance Sickness & Absence Operations Specialist

Location: Belgium, Brussels, Hybrid

Start: ASAP

Contract: 8-9 months freelance engagement (potential to extend)

FTE: 1.0 FTE, 40 hours per week

We are supporting a general pharmaceutical company with a full‑time assignment focused on the operational management of long‑term sickness and absence cases. This role is ideal for someone who enjoys structured processes, digital tools, compliance, and high‑accuracy administrative work within a complex, cross‑functional HR environment.

You will be the operational anchor for sickness, reintegration and work‑accident processes, ensuring deadlines are met, data is accurate, payroll treatment is correct, and employees receive reliable, empathetic support throughout their journey.

Key Responsibilities

- Manage end‑to‑end administrative follow‑up of long‑term sickness cases (+30 days)
- Track legal and process milestones (4 weeks, 8 weeks, 6 months) and ensure files remain complete and audit‑ready
- Maintain accurate data across HR and payroll systems (SuccessFactors, Neocase, myProtime, Oasys, eBlox)
- Ensure consistency between time registration, HR systems and payroll
- Act as digital super‑user for sickness & reintegration tools and support employees using self‑service platforms
- Proactively flag upcoming deadlines, missing documentation or risks using automated alerts and workflow triggers
- Identify manual tasks suitable for automation and contribute to digital process improvements
- Apply correct payroll treatment for sickness and work‑accident cases (mutuelle, guaranteed salary, disability allowances)
- Support administrative follow‑up of work‑accident files and liaise with external insurance partners




- Communicate clearly and empathetically with employees, managers, HR teams and external providers
- Prepare periodic and ad‑hoc reporting and dashboards (Excel, Power BI)
- Ensure compliance with Belgian legislation and internal policies
- Contribute to continuous improvement of tools, checklists and digital workflows

What You Bring

- Solid experience in HR Operations, Payroll administration or sickness/absence management
- Strong knowledge of Belgian payroll rules for sickness and work accidents
- High accuracy, structure and attention to detail; comfortable managing multiple cases and deadlines
- Strong digital affinity with HR systems (SuccessFactors, Neocase, myProtime, Oasys, eBlox)
- Proactive, data‑driven mindset with the ability to anticipate risks and flag issues early
- Excellent communication skills across all levels of the organization
- Trilingual: French, Dutch and English
- Strong reporting and data‑visualisation capability (Excel, Power BI)
- Discreet, reliable and comfortable handling confidential medical information
- Adaptable, solution‑oriented team player comfortable in an evolving digital environment
- Pharmaceutical industry experience highly desired
