Finance & Project Administrator – Interior Design

We are looking for a highly organised and proactive Finance & Project Administrator to join our interior design business.

In this role, you will be responsible for the financial administration of our interior projects from start to finish. You will keep track of client payments, supplier invoices, project budgets and cash flow, ensuring that every project remains financially organised and up to date.

This is a hands-on role with a high level of responsibility. You will work closely with management, project teams, suppliers and clients and will play an important role in maintaining financial control across multiple projects.

About Pure Interiors

Pure Interiors is a growing interior design and turnkey furnishing company based on the Costa del Sol, working with an international client base across Marbella and the surrounding areas.

From our showroom in Elviria, Marbella , our international team works on a wide range of high-end residential projects, from complete furniture packages and interior styling to fully managed turnkey projects. We are an ambitious and hands-on team with different nationalities and backgrounds, working in a dynamic environment where design, property and project management come together.

Your responsibilities

- Prepare and issue client invoices according to agreed project payment schedules.
- Monitor incoming client payments and proactively follow up on outstanding balances.
- Request, review and process supplier and manufacturer invoices.
- Prepare and process SEPA payments and supplier transfers, including staged payment structures such as 50/50 and full prepayments.
- Manage rental payments and calculate and process agent commissions where applicable.
- Register and follow up on refunds, credits and payment corrections.




- Prepare and update client quotations, including amendments, additions and cancellations.
- Review project financials and payment requirements in Notion and ensure payment statuses remain accurate and up to date.
- Record invoices, payments, receipts and other financial transactions in Odoo .
- Maintain a clear overview of outstanding client and supplier balances.
- Prepare a weekly financial overview and cash-flow forecast for management.
- Monitor project timelines and adjust expected cash flows when installations, property handovers or project deliveries are delayed.
- Identify potential payment or cash-flow issues at an early stage and communicate them clearly to management.
- Help continuously improve our financial and administrative processes as the business grows.

Who we are looking for You are structured, accurate and comfortable taking ownership of financial administration. You enjoy creating order, following up on details and making sure that nothing falls between the cracks.

You are able to manage several projects simultaneously and understand that timelines and payment schedules can change quickly in a project-driven environment.

Ideally, you have:

- Previous experience in finance administration, accounting, bookkeeping or project administration .
- Strong organisational skills and excellent attention to detail.
- Good knowledge of Excel and financial administration.




- Experience with Odoo and/or Notion is an advantage.
- Confidence in following up payments with clients and suppliers in a professional manner.
- The ability to work independently and take responsibility for your own workload.
- A proactive and solution-oriented mindset.
- Good written and spoken English and Spanish .

The role This position is adecuado for someone who enjoys combining finance, administration and project coordination . You will have visibility across our interior projects and will become an important point of reference for management when it comes to payments, cash flow and financial project status. For this role, you will work closely with both our project team and management and will have a central position in keeping the financial side of our projects organised and under control.
