A fast-growing global technology organisation operating in a highly dynamic and evolving market are looking for an Order Management Analyst to join their Global Order Management function in Madrid.
About the Role
The Order Management Analyst supports the global Order Management function and manages the end-to-end booking process for assigned orders, from the booking-ready handoff in Salesforce CRM through accurate sales order creation and release in Oracle ERP.
The role serves as a booking control point by validating approved commercial documents and operational data, resolving booking exceptions, maintaining alignment between Salesforce and Oracle, and completing a clean handoff to Manufacturing, Logistics, Fulfillment, Billing, Licensing, Support, and other downstream teams. This is a hands-on individual contributor role; the analyst is expected to manage an assigned workload independently, follow established controls, elevate material exceptions promptly, and contribute to process standardization and automation across the integral booking operation.
Responsibilities
- Execute global bookings from approved Salesforce opportunities and quotes through accurate sales order creation and release in Oracle ERP within agreed service levels.
- Review quotes, order forms, purchase orders and supporting documentation to validate customer, products, pricing, quantities, payment terms, dates and other key order details.
- Identify and resolve incomplete or inconsistent order information, coordinating with Sales, Sales Operations, Deal Desk and Finance to obtain required corrections or approvals.
- Manage order creation, amendments, cancellations,
debook/rebook activity and other approved transactions across Salesforce and Oracle, ensuring data accuracy and complete audit trails.
- Monitor Salesforce-to-Oracle order interfaces, resolve data mismatches and transaction errors, and coordinate with Systems/IT teams on system-related issues.
- Maintain accurate order status and reporting, coordinate downstream handoffs, support month-end/quarter-end priorities, and contribute to process improvements, SOPs, testing and automation initiatives.
Required Skills
- Typically 2-4 years of experience in Order Management, Sales Operations, Deal Desk, Billing Operations, Revenue Operations, or another Quote-to-Cash / Order-to-Cash function.
- Hands-on experience working with Salesforce CRM and an ERP platform; Oracle ERP experience is strongly preferred.
- Working knowledge of CPQ, customer purchase orders, sales orders, booking controls, and cross-functional order handoffs.
- Ability to validate detailed commercial and operational data across hardware, software, subscription, support, and services transactions.
- Strong Excel, analytical, problem-solving, and written and verbal communication skills.
- High attention to detail, sound judgment, and the ability to manage priorities and deadlines in a high-volume, changing environment.
- Bachelor's degree in Business, Finance, Accounting, Operations, Supply Chain, or a related discipline, or equivalent practical experience.
What Success Looks Like
Success in this role means assigned orders are booked accurately and on time, Salesforce and Oracle remain aligned, exceptions are documented and routed promptly, and downstream teams receive complete and reliable order information.
