Job purpose
This role is crucial for ensuring the effective operational management of a reception resource. The purpose is to provide robust supervision, coordination, and management of teams, ensuring timely and high-quality responses to operational needs. The position contributes to a cohesive and integrated service delivery by fostering smooth coordination among operational teams, sectoral coordinators, authorities, and other stakeholders.
It supports the supervisor in daily management and the implementation of operational priorities, ensuring adherence to policies and standards. The role also focuses on strengthening management and coordination capacities of staff, identifying and mitigating operational risks, and ensuring activities align with humanitarian principles and protection standards.
Responsibilities
Key responsibilities include supervising, coordinating, and managing teams to ensure timely and quality responses to operational needs within the reception resource. This involves ensuring fluid coordination and effective collaboration among operational teams, sectoral coordinators, authorities,
and other stakeholders for an integrated approach. The role supports the supervisor in daily management and implementing operational priorities, adhering to policies and procedures.
It strengthens staff management and coordination capabilities through guidance and support. Identifying and escalating operational needs, gaps, and risks, with recommendations for corrective actions, is essential. The position involves supervising team performance, ensuring activities comply with operational procedures, conduct codes, and humanitarian principles. Facilitating coordination meetings, monitoring activities, and resolving issues are key.
Ensuring proper information flow and reporting lines, while promoting effective communication, is also required. Close coordination with logistics, administration, and procurement teams for operational needs is necessary. Developing and updating Standard Operating Procedures (SOPs) for supervised activities to ensure quality and dignified treatment of beneficiaries is a core duty.
Supervising the implementation of activities related to food distribution, welcome kits, hygiene items, and accommodation services, ensuring compliance with standards, is also part of the role.
Providing guidance to the Community Engagement team for information, education, recreation, and peaceful coexistence activities is required. Monitoring the facility's general condition and coordinating infrastructure, basic services, and hygiene maintenance is crucial.
Overseeing facility safety and security, reporting incidents and risks, and supporting emergency preparedness and contingency planning are also responsibilities. Contributing to operational reports and situation analyses is expected.
Education
A secondary school diploma with three years of relevant work experience, or a university degree from an accredited academic institution with one year of related work experience is required. A Master's degree in relevant fields is considered an advantage.
Work experience
A minimum of one year of relevant work experience is required. Experience in direct assistance to migrants and/or refugees, and working in a multicultural environment is desirable.
Skills
Excellent communication and negotiation skills, personal commitment, efficiency, and flexibility. Ability to work with minimal supervision. Excellent computer literacy. Demonstrated ability to work under pressure and meet deadlines.
