Project Manager – MICE (Corporate Events @ DMC)

About the RoleWe are looking for a motivated and client-focused Project Manager to join our Barcelona team.
You will manage corporate events and destination programmes from the initial brief and creative proposal through planning, delivery, financial closure and post-event evaluation.
This is a hands-on role requiring strong organisational and commercial skills, meticulous attention to detail and the ability to remain calm and solution-oriented in a fast-moving environment.

Collaboration is an essential part of the role. The Project Manager will work closely with colleagues and project leads, actively incorporating their guidance, experience and feedback. Proposals, budgets and key client communications must be internally reviewed and aligned with the relevant team members before being presented to the client.
Key ResponsibilitiesProject Planning and Development
- Understand client objectives and translate them into clear, creative and operationally viable event proposals.
- Develop comprehensive project plans, defining scope, deliverables, schedules, responsibilities and deadlines.
- Create event concepts, programmes and presentations in collaboration with clients and internal teams.
- Identify the personnel, equipment, materials and suppliers required for each project.
- Conduct risk assessments and prepare contingency plans.
Client and Stakeholder Management
- Act as a key point of contact for clients throughout the project lifecycle.
- Maintain clear, fluid and professional communication with clients, suppliers and internal teams.
- Provide regular project updates and manage expectations effectively.
- Build lasting relationships based on trust, responsiveness and consistently high-quality service.
- Address concerns,
resolve conflicts and anticipate potential challenges.
- Represent Nanoek Events professionally and identify opportunities to strengthen client relationships.
Team Collaboration and Internal Alignment
- Work collaboratively with colleagues and project leads, actively incorporating their guidance, expertise and feedback throughout each project.
- Share relevant information openly and keep the team informed of project progress, challenges and client requests.
- Ensure that proposals, budgets and key client communications are internally reviewed and aligned before being presented to the client.
- Contribute constructively to team discussions and support decisions reached through collaboration and consensus.
- Respect agreed responsibilities, internal procedures and approval processes.
- Support colleagues when needed and contribute to a cooperative, solution-oriented working environment.
Budget and Commercial Management
- Prepare, manage and monitor project budgets.
- Source suppliers and negotiate quotations, contracts and commercial conditions.
- Control costs and ensure each project meets its approved budget and profitability targets.
- Identify relevant upselling opportunities that add genuine value to the client’s programme.
- Support the development and retention of long-term client accounts.
Event Logistics and Execution
- Coordinate all operational aspects of events, including venues, accommodation, catering, audiovisual production, transportation, staffing, entertainment and security.
- Carry out venue inspections, supplier checks and quality-control visits.
- Prepare detailed schedules, event run sheets, rooming lists, transportation plans and operational checklists.
- Coordinate internal teams, local suppliers and external event partners.
- Oversee event setup, live delivery and breakdown.
- Be present on-site and respond quickly and effectively to last-minute changes.
- Ensure every element of the event meets Nanoek Events’ standards and the client’s expectations.
Quality Control and Evaluation
- Implement quality-control procedures before, during and after each event.
- Ensure services and materials are delivered on time and according to the agreed specifications.
- Conduct post-event evaluations and analyse client and supplier feedback.
- Identify areas for improvement and contribute to the continuous development of internal processes.
- Maintain accurate and organised project documentation.
Project Administration and Financial Closure
- Maintain accurate financial records for every project.
- Ensure timely and correct client invoicing.
- Follow up on supplier invoices, payments and outstanding documentation.
- Close event files within the required timeframe.
- Review final project profitability and report any relevant variations.
Skills and Experience
- Ideally, at least 1–2 years of experience in events, corporate travel, hospitality or destination management.
- Strong project management skills and the ability to coordinate several projects and stakeholders simultaneously.
- Excellent organisational, prioritisation and time-management abilities.
- Meticulous attention to detail and a strong sense of ownership.
- Commercial awareness, with a consultative and client-focused approach.
- Strong negotiation, problem-solving and decision-making skills.
- Ability to build solid relationships with clients, suppliers and colleagues.
- Full professional proficiency in written and spoken English and Spanish.
- Additional languages will be considered an advantage.
- Confidence using Microsoft Office and Canva to create professional presentations and project materials.
- Knowledge of Spain and enthusiasm for promoting the country as a leading MICE destination.
- A degree in Event Management, Business, Hospitality, Tourism or a related field is valued, although relevant professional experience is equally important.
- Availability to travel and work flexible hours when required by event operations.
