About the Company A fast-growing global technology organisation operating in a highly dynamic and evolving market are looking for an Order Management Analyst to join their Global Order Management function in Madrid.

About the Role The Order Management Analyst supports the global Order Management function and manages the end-to-end booking process for assigned orders, from the booking-ready handoff in Salesforce CRM through accurate sales order creation and release in Oracle ERP.

The role serves as a booking control point by validating approved commercial documents and operational data, resolving booking exceptions, maintaining alignment between Salesforce and Oracle, and completing a clean handoff to Manufacturing, Logistics, Fulfillment, Billing, Licensing, Support, and other downstream teams. This is a hands-on individual contributor role; the analyst is expected to manage an assigned workload independently, follow established controls, escalate material exceptions promptly, and contribute to process standardization and automation across the global booking operation.

Responsibilities

- Execute assigned global bookings from the approved, booking-ready handoff in Salesforce CRM through accurate sales order creation and release in Oracle ERP, within agreed service levels.
- Review the approved CPQ quote or order form, customer purchase order, booking approvals, and supporting documents; validate Salesforce opportunity, quote, and order data against those sources, including customer and legal entity, bill-to, ship-to and installation details, currency, products and SKUs, quantities, pricing, payment terms, Incoterms, freight, requested dates, support or subscription start dates, acceptance criteria, services, and special instructions.
- Return incomplete or inconsistent booking packages to the appropriate owner with a clear explanation of the missing information, required correction,



or approval needed before booking can proceed.
- Create or validate Salesforce order records, submit clean order data to Oracle ERP through the approved interface or manual process, and ensure the Oracle sales order reflects the approved transaction.
- Confirm Oracle order numbers, line structures, booking status, and cross-system references; update Salesforce after successful booking and monitor Salesforce-to-Oracle interface errors, data mismatches, and failed transactions. Resolve operational issues and escalate system defects to GTM Systems or IT with clear supporting evidence.
- Process a range of order types, including hardware, software, subscription, support, professional services, CPQ and approved non-CPQ transactions, and non-standard product orders, following established policies and approvals. Support amendments, cancellations, debook/rebook activity, and other approved adjustments while maintaining a complete audit trail.
- Coordinate booking completion and downstream handoffs with Sales, Sales Operations, Deal Desk, Finance, Revenue, Manufacturing, Logistics, Fulfillment, Billing, Licensing, Support, Product, and Systems teams.
- Maintain accurate order status, booking evidence, exception notes, and operational reporting; provide timely visibility into blocked orders and risks, especially during month-end and quarter-end.
- Identify recurring data-quality issues and manual work drivers, and support SOP development, dashboards, user acceptance testing, system enhancements,



automation, and other integral Order Management initiatives.

Required Skills

- Typically 2-4 years of experience in Order Management, Sales Operations, Deal Desk, Billing Operations, Revenue Operations, or another Quote-to-Cash / Order-to-Cash function.
- Hands-on experience working with Salesforce CRM and an ERP platform; Oracle ERP experience is strongly preferred.
- Working knowledge of CPQ, customer purchase orders, sales orders, booking controls, and cross-functional order handoffs.
- Ability to validate detailed commercial and operational data across hardware, software, subscription, support, and services transactions.
- Strong Excel, analytical, problem-solving, and written and verbal communication skills.
- High attention to detail, sound judgment, and the ability to manage priorities and deadlines in a high-volume, changing environment.
- Ability to work effectively across global teams and time zones and to escalate issues clearly when support or approval is required.
- Bachelor's degree in Business, Finance, Accounting, Operations, Supply Chain, or a related discipline, or equivalent practical experience.

Nice to have Skills:

- Experience with Salesforce CPQ and Oracle ERP in a global, multi-entity environment, including complex or high-value transactions.
- Experience in a technology business supporting hardware, software, subscription, support, and professional services orders.
- Exposure to order integrations, workflow automation, operational dashboards, data reconciliation, or user acceptance testing.

What Success Looks Like Success in this role means assigned orders are booked accurately and on time, Salesforce and Oracle remain aligned, exceptions are documented and routed promptly, and downstream teams receive complete and reliable order information.
