HR Technician – Recruitment & Administration

About the Role

MSP Education Group is growing and we are looking for a highly organised, energetic and hands-on HR Technician – Recruitment & People Administration to join our team in Madrid.

This is a highly practical and execution-focused position combining two important areas:

Recruitment + HR Administration A significant part of your role will be finding, screening and coordinating candidates — particularly teachers, but also sales, administration, academic and operational profiles.

At the same time, you will support the day-to-day HR administration required to ensure recruitment processes and employee records move forward quickly, accurately and without unnecessary delays.

This is not an HR strategy, consultancy or advisory position.

We are looking for someone who enjoys getting things done.

What You Will Actually DoHR & People Administration

Alongside recruitment, you will be expected to personally handle practical HR administration and support the onboarding process.

Your responsibilities will include

- Collecting and checking documentation from new employees.
- Entering and maintaining employee information in Personio.
- Preparing standard employment documentation and contracts using approved templates and procedures.
- Maintaining accurate digital employee records and documentation.
- Coordinating signatures and outstanding documentation.
- Supporting employee onboarding and ensuring required administrative steps are completed on time.
- Coordinating the creation of company email accounts, systems access and user profiles.
- Coordinating with IT and other departments when access or equipment is required.
- Keeping onboarding and recruitment checklists continuously updated.
- Following up on missing information, documentation or approvals.
- Supporting other day-to-day HR administrative tasks when required.

Recruitment

- Publish and manage job advertisements across LinkedIn, job boards and other recruitment channels.
- Review and screen incoming CVs on a daily basis.
- Conduct initial telephone and video screening interviews.




- Proactively search for candidates rather than relying exclusively on applications.
- Contact suitable candidates and maintain regular follow-up throughout the recruitment process.
- Coordinate interviews between candidates and hiring managers.
- Manage multiple vacancies simultaneously.
- Recruit bilingual teachers as well as sales, administration, academic and operational profiles.
- Search alternative channels when traditional job boards are not producing enough candidates.
- Re-engage previous candidates and maintain organised candidate databases and talent pools.
- Keep recruitment information and candidate status continuously updated.
- Follow up with managers and candidates to prevent recruitment processes from becoming unnecessarily slow.
- Help anticipate recurring recruitment needs and prepare candidate pipelines in advance.

Speed and Ownership Matter Starting salary: €20,000–€25,000 gross/year, depending on experience, with clear opportunities for progression based on performance and increased responsibility.

We are a growing organisation and recruitment requirements can sometimes change very quickly.

If a teacher successfully completes their final assessment today and needs to start teaching tomorrow, we cannot discover at the last minute that their contract, documentation or employee information has not been prepared.

For that reason, we are looking for someone who works proactively and in parallel, anticipating the next step rather than waiting for one process to completely finish before starting another.

Working model: 100% on-site

You will not be expected to make decisions outside your area of responsibility, but you will be expected to follow things through until they are completed.

Who Will Succeed Here?

Someone who is

- Fast and highly organised.
- Comfortable working with a high volume of CVs, candidates and administrative tasks.
- Persistent with follow-ups.
- Detail-oriented without becoming unnecessarily slow.
- Comfortable switching between recruitment and administration during the same day.
- Proactive rather than reactive.
- Confident speaking with candidates and hiring managers.
- Comfortable using HR systems, spreadsheets and digital tools.
- Able to prioritise when several vacancies become urgent simultaneously.
- Someone who takes ownership of tasks until they are completed.

What We’re Looking For
- Previous experience in HR, recruitment, people administration or a similar role.
- Practical experience screening CVs and interviewing candidates.
- Experience with HR administration and employee documentation.
- Previous experience with an HRIS such as Personio would be highly valued.
- Experience recruiting in Spain is strongly preferred.
- Experience recruiting teachers or education professionals would be an advantage.
- Professional fluency in Spanish.
- Good working level of English.
- Strong organisational and communication skills.
- Confidence using Excel/Google Sheets and digital systems.
- Ability to work independently and manage multiple priorities.

We are more interested in execution, organisation, speed and attitude than impressive job titles.

Important

This is a hands-on role.

You will personally review CVs, call candidates, conduct initial interviews, update systems, prepare documentation, follow up on missing information and make sure processes continue moving.

If you are looking primarily for an HR strategy, HR Business Partner, consultancy or management position, this is unlikely to be the right opportunity.
