What You´ll Do:
Coordinate pharmaceutical event logistics:
Manage operational details of conferences and seminars Negotiate with suppliers (hotels, catering, audiovisuals) Optimize budgets while maintaining quality standards
Plan transportation and accommodations
Coordinate ground transportation (bus/taxi/private transfer) for attendees and speakers Manage hotel reservations Ensure seamless travel experiences
Ensure regulatory compliance
Maintain adherence to pharmaceutical industry regulations Keep compliance documentation Collaborate with Legal and Compliance teams
Manage stakeholders and communication
Collaborate with Marketing and Sales, departments Align event objectives Coordinate with internal teams
Resolve operational challenges
Handle last‑minute changes Manage contingencies during event execution Ensure event continuity
Manage administrative and financial processes:
Track budgets and event expenses Process invoices from suppliers and clients Monitor payments and reconcile accounts Close out event financials
What We´re Looking For
Minimum 5 years of experience in pharmaceutical event management:
Proven track record planning and executing pharma conferences, seminars, and corporate events Deep understanding of pharmaceutical industry requirements and regulations Experience managing complex, multi‑stakeholder Events
Advanced English proficiency
Fluent in English at business level Ability to communicate effectively with international clients and teams Strong written and verbal communication skills
Fluency in Catalan and Spanish:
Native or near‑native proficiency in both languages Ability to manage client communications in local languages
Exceptional client-facing and communication skills:
Strong interpersonal abilities and professional demeanor Ability to build and maintain positive client relationships
Incident resolution and problem‑solving expertise:
Proven ability to handle operational challenges and unexpected situations Quick decision‑making under pressure Proactive approach to preventing and resolving issues
On‑site presence requirement
Full‑time office‑based role at client locations throughout the week Willingness to work occasional holidays when required Commitment to hands‑on event management and direct client interaction
