Organizational context: The Team Assistant position is within the Evaluation Section of the Monitoring and Evaluation Service, part of the Business Transformation and Accountability Division (BTAD) in the Department of Management Strategy, Policy and Compliance (DMSPC) of the UN Secretariat. The incumbent reports directly to the Chief of Section, supporting the operational functions of the unit.

Job purpose

The Team Assistant provides essential office support and administrative functions to the Evaluation Section. This role involves managing correspondence, producing complex documents, and monitoring unit outputs and schedules to ensure compliance with requirements. The incumbent will research and compile information, generate reports, proofread and edit texts, and handle inquiries. Additionally, the role supports meetings, maintains websites, prepares presentations, manages calendars, and performs data entry. The Team Assistant also handles mail processing, updates distribution lists, coordinates logistics, and performs general administrative tasks, including processing requisitions and travel requests, and maintaining files and databases. Guidance may be provided to less experienced staff.

Responsibilities

The Team Assistant performs a wide range of office support and administrative functions. Key duties include responding to correspondence, producing complex documents, and monitoring unit processes and schedules for compliance. The role involves researching and compiling information for reports and meetings, generating statistical reports, and proofreading/editing documents.



The incumbent screens calls and visitors, handles information requests, and provides secretarial, administrative, and logistics support for meetings and conferences. Responsibilities extend to website maintenance, presentation material preparation, calendar management, data entry, and mail processing. The role also includes updating distribution lists, coordinating shipments, performing general administrative tasks like leave recording and event arrangements, processing administrative requests (requisitions, travel, contracts), and maintaining physical and electronic files and databases. Providing guidance to junior staff is also part of the role.

Education

A high school diploma or equivalent is required for this position.

Work experience

A minimum of three years of general office support or related experience is required. This requirement is reduced to one year for candidates with a first-level university degree or higher. Experience in organizing meetings, using Microsoft Office (Excel, Word, PowerPoint), and drafting correspondence is necessary. Experience in note-taking and data analytics is desirable.
