We are looking for a highly organized, proactive and discreet Executive Assistant / Office Manager to support the partners of a boutique strategic consulting firm.
The role spans diary and inbox management, travel, meeting materials and confidential files, alongside real operational responsibility: liaising with accounting on invoicing, project profitability and cost reporting. It also includes managing a portfolio of rental properties and supporting family office administration for one of the partners. Exceptional judgement, time management and discretion are essential.
Work modality: 100% on-site.
Responsibilities
· Schedule management: Coordinate meetings, organize events, and arrange travel plans for the partners, ensuring efficient resource allocation.
· Email and communication management: Filter, respond to, and prioritize emails and calls.
· Meeting and presentation coordination: Prepare materials, presentations, and meeting minutes.
· Document and report management: Organize contracts, financial reports, digital/physical files, and confidential documents.
· Travel and logistics support: Handle flight, hotel, and transportation bookings, and coordinate itineraries.
· Support in family office operations: Track investments, legal documentation, and administrative tasks.
· Client and stakeholder interaction: Act as a point of contact and ensure smooth communication.
· Special project supervision: Assist with strategic initiatives and follow up on key tasks.
· Coordination with accounting department: invoice retrieval,
project ROI calculation, P&L; estimation, cost and activity calculation and reporting
· Project profitability and team time-allocation tracking: monitor project profitability and how team time is allocated across projects.
· Management of real estate assets: manage rentals, renew and negotiate contracts, post ads and contact potential clients.
· Personal tasks: Manage personal matters for the partners (shopping, payments, appointment coordination, etc.).
Requirements
· Ideally a minimum 5 years of experience in similar roles.
· Degree in Business Administration, Personal Assistant, Executive Secretariat, or related fields (preferred).
· Proficiency in Microsoft Outlook, Word, Excel and PowerPoint.
· Advanced English (minimum C1 level, spoken and written) – mandatory requirement.
· Ability to work in a fast-paced, high-demand environment.
· Capacity to handle confidential information with discretion.
· Excellent communication skills: must have people skills and the ability to engage clients and prepare sales-oriented documents.
· Proactive, highly organized, and detail-oriented.
· Nice to have: Basic knowledge of accounting, payroll management, tax submissions
