Role Overview

We are seeking an experienced Estate & Projects Manager to oversee a private property portfolio across Spain, Sweden, and Canada for a High Net Worth Individual.

This is a firsthand, highly trusted role responsible for the day-to-day operation of multiple residences, international staff and vendors, and the oversight of renovation and capital improvement projects. The idóneo candidate is highly organized, discreet, proactive, and comfortable operating independently across multiple countries.

What you’ll do:

- Oversee the day-to-day operations and maintenance of private residences across three location ins Spain and Sweden.
- Work with the Family Office finance team on invoice processing, payments, and reporting, validating scope and costs while Finance manages payment execution.
- Lead and oversee renovations, construction, refurbishments, and capital projects, managing contractors, architects, designers, budgets, timelines, and quality.
- Coordinate property readiness around the Principal’s international travel schedule.
- Recruit, manage, and coordinate household and estate staff across multiple locations.
- Manages relationships with contractors, vendors, suppliers, security teams, and service providers.
- Oversee property operating and renovation budgets, invoices, contracts, and expenditures.
- Conduct regular property inspections and proactively identify and resolve issues.
- Maintain exceptional standards of privacy, security, presentation, and service.
- Act as a trusted point of contact for the Principal, anticipating needs and managing priorities with discretion.
- Travel regularly between Marbella, Ibiza, and Stockholm.

What you bring:
- Experience:



7+ years delivering high-end residential renovation, fit-out, or construction projects.
- Multi-Site Management: Previous experience managing multiple international projects simultaneously.
- Commercial Skills: Strong budget management and ability to challenge valuations, variations, and professional fees.
- Execution Mindset: High urgency, decisive, and focused on closing issues rather than simply tracking them.
- Attention to Detail: Strong focus on specifications, quality, contracts, and cost validation.
- Act as a trusted point of contact for the Principal, anticipating needs and managing competing priorities with judgement.
- Maintain absolute confidentiality regarding the Principal, the family, the properties, and all associated matters.
- Project Systems: Able to independently manage project registers, budgets, reporting, and documentation.
- Languages: Fluent in English and Spanish.
- Location & Travel: Based in or willing to relocate to Marbella, with regular travel to Ibiza and Stockholm.
- Discretion: Demonstrated sound judgement and experience handling highly confidential matters.

Nice to have:
- Experience working within a family office, private estate, or similar private-capital environment.
- Established contractor, trade, and professional network on the Costa del Sol.
- Working knowledge of Spanish planning, licensing, and building regulations, and of the Proyecto Básico / Proyecto de Ejecución stage structure.
- Swedish language, or prior experience delivering works in Scandinavia.
- Formal project management credential (PMP, PRINCE2, RICS or equivalent).
- Familiarity with smart home, AV, climate and integrated access-control systems.
- Multi-currency cost reporting experience (EUR / SEK / GBP).
