We are looking for an Administrative Coordinator to join our Translation team in Brussels. This is a fixed-term contract to cover a replacement. You will be the person who makes sure every translation project starts on time, with the right files and the right translator.

If you like precise, well-organised work and you are comfortable with digital tools, this role is for you.

ABOUT IPIFY

iPify was founded in 2021 with one idea: give IP professionals a single platform to work with their clients, foreign associates and suppliers, backed by reliable services. Today we are a team of over 40 people, and we keep growing.

KEY RESPONSIBILITIES

- Prepare patent documents for translation: convert PDF files into Word documents that stay faithful to the original, following our internal procedures
- Launch translation projects in our translation platform and select the right supplier for each request
- Follow up on deadlines and keep internal teams informed about the status of each project
- Report any inconsistency, risk or mistake you notice
- Support our procedure and tooling improvements





THE ADECUADO CANDIDATE

You are accurate and pay attention to details.

You are organised and calm when several requests arrive at the same time.

You are comfortable with recurring tasks and you follow procedures carefully, because in our industry, details have legal consequences.

You have a professional level of English (B2 to C1). Other languages are a plus, not a requirement.

You have a first experience in an administrative environment. Experience in intellectual property is an asset, not a must.

You are at ease with files: converting them, checking them, uploading them to the right platform, and switching between tools without losing track.
