AIJA Finance Officer

Organisation Overview:

AIJA, the International Association of Young Lawyers, is the only global association devoted to lawyers and in-house counsel aged 45 and under. Since 1962 AIJA provides outstanding international opportunities for young lawyers to network, learn and develop. AIJA currently has a community of over 6,000 people in 100+ different countries. The AIJA community is very diverse, with members coming from law firms of all sizes and cultures, as well as in-house counsel, in both the private and public sectors.

The activities of AIJA are coordinated by 18 academic commissions, in charge of organising our events all around the globe and keeping members up to the date in their respective areas of practice. AIJA is committed to defend and take active part in promoting core legal principles, such as the rule of law and human rights principles. We respect the integrity of each civilised society of the world and aim to advance cross-cultural understanding among members and other participants in the legal profession.

Job Summary:

The International Association of Young Lawyers (AIJA) is seeking a Financial Officer responsible for financial operations, governance compliance, budgeting, forecasting, event finance management, management reporting, systems improvement and strategic financial support to the Managing Director, Treasury and Bureau. This role will manage day-to-day financial control among accounts and support budget control among projects and events. This role will liaise and provide reporting with third-party financial professionals such as accountants, auditors, and banks. This role shall also develop forecasting and model reporting for transformational projects.

Key responsibilities

1. Day-to-Day Financial Control and Support Budget Control Among Projects

- Manage day-to-day financial operations, including accounts payable, accounts receivable, banking transactions, and expense processing.
- Maintain invoicing management within internal financial management and accounting systems.
- Review and verify staff and project-related expenses to ensure compliance with internal policies and donor requirements.
- Maintain accurate financial records and ensure timely reconciliation of accounts.
- Collaborate with Event Managers to review event budgets periodically, identifying potential variances.
- Support Event Managers in maintaining financial discipline throughout the event lifecycle.
- Prepare and oversee the financial closure of events and projects, ensuring all income, expenses, accruals, and supporting documentation are accurately recorded.
- Assist Managing Director and Treasury by monitoring cash positions, preparing cash flow forecasts, and ensuring adequate liquidity to meet operational and project funding requirements.
- Ensure compliance with organisational financial procedures and relevant Belgian regulatory requirements, such as Peppol.
- Review and improve financial processes, controls, and reporting procedures to strengthen efficiency, accuracy, and compliance.

2. External Financial Liaison, Compliance, and Reporting





- The Financial Officer acts as AIJA's primary financial coordinator and internal owner of financial processes, working closely with external accountants, auditors and advisers who provide specialist and statutory support.
- Coordinate the timely preparation and submission of financial information, supporting documentation, and statutory records required by external accountants and auditors.
- Support the preparation of annual financial statements and audit processes, ensuring all audit requests are addressed efficiently and accurately.
- Liaise with the organisation’s VAT experts to ensure accurate VAT treatment, reporting, recovery, and compliance globally.
- Maintain effective relationships with banking institutions, including management of banking documentation, authorised signatories, account administration, and treasury-related queries.
- Coordinate with back-office and administrative service providers to ensure the accuracy and completeness of financial records and supporting documentation.
- Monitor statutory filing deadlines and support compliance with all financial, tax, and regulatory obligations.
- Reconcile accounting records between internal systems, Winbooks, and external accounting providers to ensure consistency and accuracy of financial information.
- Prepare monthly financial reports, reconciliations, and analyses for Managing Director, Treasury, auditors, and other stakeholders.
- Identify and resolve financial discrepancies, compliance issues, or reporting gaps through proactive engagement with internal and external stakeholders.
- Support the implementation and continuous improvement of financial controls, reporting processes, and compliance procedures

3. Governance, Compliance, and Corporate Administration

- Coordinate the preparation and filing of statutory financial documents required under Belgian AISBL regulations.
- Support annual audit and discharge processes, ensuring the timely provision of documentation and financial information.
- Maintain the organisation's financial governance records and supporting documentation.
- Monitor regulatory and compliance deadlines and ensure appropriate follow-up with external advisers.
- Maintain the association's fixed asset register and supporting records.

4. Financial Forecasting, Business Modelling and Revenue Analysis

- Develop and maintain financial forecasts and budget models to support organizational planning and decision-making.
- Build and monitor revenue forecasting models based on membership growth, retention trends, sponsorship income, event performance, and other funding streams.
- Analyse membership and sponsorship data to help Managing Director and Bureau identify trends, risks, opportunities, and potential financial impact.
- Support development of financial models for business cases for new initiatives, programmes, events, and strategic projects.
- Work closely with management and Treasury to support annual budgeting, quarterly reporting,



mid-year reforecasting, and long term-financial planning.
- Review financial dashboards to monitor organizational performance against targets.
- Provide regular insights and recommendations to support revenue growth, cost-control and optimization, and financial sustainability.

Skills & Key Competencies

- Proven experience (3+ years) in financial operations, accounting, budget management, financial reporting, or a related finance function.
- Bachelor's degree in Finance, Accounting, Economics, Business Administration or related field is preferred.
- A collaborative, proactive, and energetic team player with a growth mindset and commitment to high standards of financial stewardship.
- Is a self-starter that possesses a positive attitude and energy with a strong ability to work in multicultural, diverse and multistakeholder environments.
- Strong understanding of financial controls, budgeting, forecasting, account reconciliation, and financial compliance processes.
- Experience supporting project, event, or programme budgets, including expenditure monitoring, variance analysis, and financial close-out activities.
- Demonstrated ability to work independently, take ownership of responsibilities, and operate effectively in a multicultural, international, and stakeholder-driven environment.
- Excellent analytical and numerical skills, with the ability to interpret financial data, identify trends, and provide meaningful insights to support decision-making.
- Strong proficiency in financial systems and accounting software, preferably including Winbooks, as well as, advanced Microsoft Excel skills.
- Data-driven mindset with a strong focus on accuracy, attention to detail, process improvement, and automation.
- Exceptional reporting skills with the ability to prepare clear, concise, and timely reports.
- Strong organisational and prioritisation skills with multiple deadlines and competing demands.
- Excellent communication and interpersonal skills with internal and external stakeholders plus third-party service providers.
- Adaptable and resilient, with the ability to work effectively in a continuously evolving environment and respond positively to changing priorities.
- Fluency in English and French (written and spoken) is essential, and proficiency in other languages is an advantage.
- Availability and readiness to undertake international travel as required.
