Workplace AI & End Users Services Project Manager

We're looking for an experienced Workplace AI & End Users Services Project Manager to join an international leader in the insurance and assistance sector, based in Barcelona (hybrid model, 2-3 days/week in office).

You'll take ownership of driving multiple concurrent IT and Workplace transformation projects in a integral, matrix organization. This is a hands-on leadership role where you'll coordinate cross-functional teams across different AXA entities, manage complex stakeholder ecosystems, and ensure successful deployment of digital adoption initiatives that directly impact hundreds of users.

What you'll do

- Lead 2+ concurrent IT/Workplace projects to successful delivery, managing different maturity levels and international stakeholder groups
- Proactively engage all required teams (products, working groups, business functions – sales, underwriting, compliance) and establish accountability across matrix structures
- Define and monitor project scope, cost, timeline, and quality within constraints; identify dependencies and maintain active risk registers
- Manage risks, mitigations, and escalate issues collaboratively with senior technical and business stakeholders
- Organize and lead Project Steering Committees; coordinate all work streams and ensure seamless progress tracking
- Prepare tailored reporting and dashboards for different audiences, consolidating status updates, KPIs, budget tracking, and decision-making materials
- Maintain accurate deployment schedules, local roll-out plans, adoption roadmaps, and benefits tracking in line with business cases
- Oversee handover to BAU operations and lead change management for post-launch support and training
- Ensure alignment with AXA's project methodologies (Agile, DevOps) and architectural, data, safety, and quality standards
- Deliver project governance documentation, stakeholder sign-offs, steering committee materials,

and gating documentation

What we're looking for

✓ 8+ years of proven experience in project and program management, with specific expertise in Workplace and End Users Services projects in international contexts

✓ Practical, results-oriented mindset — you structure environments to drive concrete outcomes and deliver measurable results

✓ Global project management experience — comfortable implementing governance frameworks and managing distributed, matrix teams

✓ Risk and change management expertise — you anticipate risks, proactively mitigate impact, and navigate organizational change

✓ Strong communication and interpersonal skills across hierarchies, geographies, and cultures — you adapt your message for executives, operational teams, and technical stakeholders

✓ Multi-project management capability — you can juggle independent, parallel workstreams without losing sight of priorities

✓ Flexible and adaptable — you thrive in dynamic, matrix environments with competing priorities and no formal authority over some stakeholder groups

✓ Resilience and tenacity — you persevere through ambiguity and moving targets

✓ Language proficiency: Spanish, French, and English required (fluency in all three is essential for this international role)

Nice-to-have skills:

- Agile methodologies and frameworks (practical knowledge)
- Financial/budget management background
- Insurance or assistance industry familiarity
- Hands-on experience with Workplace AI products

- Experience with MS365 and generative AI tools in enterprise contexts
