We are currently looking for an AdminSpecialist who is eager to learn about the Real Estate industry. The rolerequires excellent organizational skills that reflect the ability to performand prioritize multiple tasks seamlessly with excellent attention to detail,along with a pro-active and professional approach.

The perfect candidate must be able towork under pressure, have a problem-solving and optimistic attitude, andpossess great communication skills. Along with the proven ability to handleconfidential information with discretion.

This position will be carried out fromour Madrid office. Travel is generally not required.

Mainresponsabilities

- The role is responsible forproviding support to two different teams in Madrid and acting as a point ofcontact with internal colleagues as well as external partners.
- Demands and Data management:clients information, demands, opportunities Receive and respond to calls / emails / webs, refer opportunities toconsultants, register in CRM, and follow up on ongoing opportunities. Registernew properties in the CRM and complete all necessary fields to ensure accurateand comprehensive listings, including photos, floor plans, propertydescriptions, transportation, and communication details.
- Invoicing, Contracts and Unpaidsmanagement: Handle invoicing tasks and manage contract signatures, includingthe handling of official documentation and correspondence.
- Prepare commercial documents, pitchesusing and other professional documentation using MS365 (PPT, Word, Excel). Conductresearch, provide background information on various topics and prepare meetingdocumentation, when needed.
- Organization and coordinationof quarterly meetings.
- Assist with special projectsand initiatives.




- Administrative follow-up ofprojects.
- Event planning for importantcorporate events in sync with our marketing team.

Arrange caterings whennecessary.

- Other support tasks: Travelcoordination, including flights, hotels, transport, etc. Expense reporting. Arranging signatures, handling official documentation and correspondence,printing, scanning documents and receiving packages, among others.
- Support our pool of assistantsand/or other departments when required.

Profile

- Native level of English and Spanish. Other languages will be considered.
- Strong proficiency in MS Office (special proficiency in PowerPoint,Excel, Word, Outlook & OneDrive management).
- Proven track record as EA / Admin role in a multinational company.
- Communication skills and client experience.
- Problem-solving approach.
- Excellent teamwork skills.
- Proactivity, initiative, and autonomy.
- Eager to learn and innovate.
- Knowldedge of the Real Estate market will be a plus.
