At Hays, we are looking for a Scientific Relations Project Manager to support and coordinate scientific engagement activities within a global pharmaceutical environment. This role will work closely with the Integral Scientific Relations team, leading operational and project management activities related to expert interactions, scientific congresses, and stakeholder engagement initiatives.

The position will serve as a key liaison between external experts and internal stakeholders, ensuring the successful planning, coordination, execution, and follow-up of scientific meetings and congress-related activities. The role will collaborate closely with Medical Affairs, Operations, Compliance, Commercial teams, and external partners to deliver high-quality scientific engagement programs aligned with business objectives and compliance standards.

What you will do

- Coordinate large-scale expert engagement activities, including up to 200-300 meetings during major scientific congresses and multiple engagements for regional and local events.
- Act as the primary point of contact for assigned healthcare professionals, scientific experts, and internal stakeholders.
- Schedule, organize, and manage scientific meetings through dedicated event management platforms such as SpotMe, ensuring accurate calendar integration and participant communications.
- Develop congress overview presentations, briefing materials, meeting agendas, and stakeholder communication documentation.
- Maintain tracking tools and dashboards to monitor event planning activities, meeting status, stakeholder engagement, and project progress.
- Coordinate cross-functional collaboration across Medical Affairs, Operations, Compliance, Commercial,



and external vendors.
- Support event planning, execution, reporting, and post-event analysis through EPIC and other event management systems.
- Monitor project timelines, identify potential scheduling conflicts, and proactively drive issue resolution.
- Ensure operational excellence and compliance throughout scientific engagement activities and congress planning processes.
- Contribute to process optimization initiatives and continuous improvements within Scientific Relations operations.
- Support the preparation of reports, metrics, and insights related to scientific stakeholder interactions and congress activities.
- Manage multiple projects simultaneously while ensuring deadlines and quality standards are consistently met.

What we are looking for

- Master's degree in Life Sciences, Pharmacy, Biology, Chemistry, Biotechnology, or a related scientific discipline.
- Previous experience in event coordination, congress management, stakeholder engagement, or project management, preferably within the pharmaceutical, healthcare, or life sciences industry.
- Strong project management and organizational skills, with the ability to manage multiple priorities in a dynamic environment.
- Experience working with event management and scheduling platforms such as SpotMe or similar tools.




- Advanced proficiency in PowerPoint and Excel.
- Strong communication skills with the ability to build productive relationships with internal and external stakeholders.
- Experience coordinating activities across cross-functional international teams.
- Ability to operate effectively in a fast-paced, deadline-driven environment.
- Knowledge of scientific congresses, expert engagement activities, and healthcare stakeholder interactions.
- Fluent English, both written and spoken.

Nice to Have

- Experience supporting Medical Affairs, Scientific Relations, or Healthcare Professional Engagement teams.
- Familiarity with congress management processes for major international scientific events such as ASCO, ESMO, or equivalent medical congresses.
- Experience with EPIC or other pharmaceutical event management systems.
- Exposure to healthcare compliance requirements associated with scientific engagement activities.
- Experience working within global pharmaceutical organizations.
- Knowledge of project management methodologies and reporting frameworks.
- Experience coordinating external vendors, agencies, and scientific stakeholders.
- Additional European languages are considered a plus.
