Temporary Facilities Manager (Medical Leave Cover)
This is a temporary position to cover a medical leave. The Facilities Manager plays a key role in ensuring the safe, efficient and smooth operation of the school, supporting excellent learning experiences for students and families.
Reporting to the Head of School and Head of Finance, the post holder will work closely with the Regional Property Team, school leadership and external providers.
Key Responsibilities
Ensure full compliance with local, regional and national regulations, ISP policies, technical standards, Health & Safety, safeguarding and Ministry of Education requirements.
Maintain accurate property, inspection and compliance records in Quionia (CMMS), ensuring documentation is current, validated and uploaded before supplier payments are authorised.
Coordinate licensing renewals, inspections, fire safety, Health & Safety processes and event compliance; proactively identify and escalate risks.
Follow ISP procurement procedures and raise purchase orders as required.
Contribute to the Five-Year Development Plan and CAPEX planning with the Senior Leadership Team and Regional Team; support delivery of projects within agreed scope, quality, budget and timeline.
Lead and oversee maintenance and cleaning teams, and manage outsourced providers against agreed service levels.
Monitor specialist services including security, transport, pool maintenance, waste, pest control and cleaning. Ensure timesheets, records and maintenance tasks are reviewed and correctly logged.
Balance reactive and preventative maintenance, ensuring all facilities remain safe, functional and fit for purpose. Produce regular condition reports and action plans.
Establish and monitor cleaning, hygiene and water-quality routines, including kitchen sanitation, waste disposal and pest control.
Support the school’s security programme, emergency-response procedures, access control and staff training in collaboration with the H&S; Coordinator and SLT.
Support preparation and monitoring of facilities OPEX budgets, forecasts and annual property budgets. Track expenditure, identify risks and drive cost-saving opportunities.
Lead sustainability and energy-efficiency initiatives, reducing the school’s CO2 footprint and reporting outcomes.
Provide training, feedback and coaching to facilities staff; communicate clearly with school leadership, colleagues, families and suppliers.
Coordinate operational contingencies, procurement initiatives and, where required, staff accommodation needs. Occasional weekend attendance may be required in line with operational needs.
Skills, Qualifications and Experience
Technical background in architecture, engineering or a related field.
Facilities Management qualification or Master’s degree is desirable.
Fluency in Spanish and English, written and spoken.
At least two years’ experience in Facilities Management.
Strong organisational, communication, customer-service and problem-solving skills.
Ability to manage multiple priorities, suppliers, budgets and compliance requirements effectively.
