The Role:
The Reception & Team Assistant plays a vital role in ensuring the smooth day-to-day operation of our Madrid office, while also contributing to regional initiatives across EMEA.
This role is responsible for delivering an exceptional experience for employees, customers, and visitors, maintaining a safe and compliant environment, and supporting broader facilities and operational goals.
The position requires a proactive, organized, and service-oriented individual who can manage multiple responsibilities and collaborate effectively with internal teams and external partners.
Language proficiency: Must speak and write fluently in English and Spanish.
Your Impact:




- Ensure the smooth day-to-day running of the office and showroom, maintaining a clean, safe, and welcoming environment for employees, customers, and visitors. This includes managing consumables, coordinating with contractors, and being the face of the company at the site.
- Carry out regular compliance and health & safety checks, maintain documentation, support training coordination, and manage a high volume of Facilities Purchase Orders (POs) - ensuring accuracy, budget alignment, and timely processing across multiple vendors.
- Support your primary site and any new or future locations in your region, assist with courier and sustainability processes, contribute to EMEA-wide initiatives, and collaborate with other Reception / Team Assistants to share best practices and streamline operations. Support with the organization and smooth-running of regional events (Charity & Social).
