Position Summary

We are looking for a proactive and service-oriented Site Responsible & Receptionist to oversee the day-to-day operations of the Sant Cugat del Vallès office and serve as the first point of contact for visitors, employees, and suppliers. This role combines reception and front desk responsibilities with office coordination, facilities management, supplier follow-up, administrative support, and assistance in the organization of corporate events, ensuring a smooth and efficient workplace environment.

Responsibilities





Site Coordination & Facilities Management

Ensure the smooth day-to-day operation of the site.
Coordinate with building management, maintenance providers, and external suppliers.
Monitor workplace facilities and ensure a safe, clean, and functional working environment.
Follow up on office maintenance requests and site-related issues.
Support the implementation of health, safety, and workplace standards.

Front Desk & Reception

Manage switchboard and reception services.
Welcome and assist visitors, suppliers, and employees.
Register visitors and coordinate office access.
Manage incoming and outgoing mail, courier services, and package distribution.
Coordinate parking requests and key management.
Manage shared reception mailboxes.

Office Support & Administration

Coordinate office supplies and consumables.
Support meeting room bookings and preparation.
Support Finance with invoice pro
