Join BABLE Smart Cities for a 6-month full-time internship (40 hours a week) based in Barcelona or Stuttgart. You will support the delivery of our international events and client-facing communications, working alongside senior colleagues who engage with mayors, ministers, CIOs, and councillors across Europe.

About BABLE

BABLE Smart Cities is the facilitator for Smart Cities in Europe, born as a spin-off from Fraunhofer Research Society. With a decade of experience in the field, we offer practical insights gained by practitioners, for practitioners. Our mission is to accelerate change in the public and private sectors by providing market access and knowledge. We have already facilitated over €2 Billion in Smart City projects with cities, towns, and regions. Our free Knowledge Hub connects innovators and the public sector, providing access to the most comprehensive Smart City datasets and insights in Europe. With a growing presence across Europe, we combine local knowledge with global best practices to implement more projects faster.

The Internship

You will support the operational delivery of our international events and work with senior colleagues on client-facing communications. This is a hands-on role where detail, reliability, and strong communication matter.

What You Will Do

Event management and project delivery (~70%)

- Co-own the operational checklist with the events lead: jointly manage venue and vendor sourcing, quotes at several price points, catering including dietary requirements, room set-up, AV, signage, accommodation and transport. You will manage workflow and checklists under the lead's direction, progressing toward independent management of specific event elements as you gain experience.

- Run the registration pipeline: maintain event pages on the BABLE platform, pull registration lists weekly ahead of client meetings, chase unconfirmed invitees.

- Support the run-of-show process: collect speaker and moderator bios, headshots, and session descriptions; build the detailed schedule.

- Support participant logistical communications by drafting complete information about venue, logistics, agenda and practical details to all confirmed participants.

- Provide on-site delivery support: set-up, registration desk, timekeeping, troubleshooting.

- Track spend against budget,



collect invoices and receipts.

- Keep Jira and Confluence current, prepare weekly status updates, and follow up on open actions between meetings.

Communications and client work (~30%)

- Draft participant-facing communications in English to a senior public sector audience: invitations, logistical detail emails, reminders, follow-ups.

- Produce simple assets from our brand templates in Canva: invitations, agendas, signage, sponsor slides.

- Take meeting notes and circulate summaries with clear action points.

- Support the Growth and Operations team on building and cleaning outreach lists (running into the thousands: mayors, ministers, CIOs, councillors).

- Support the Growth and Operations team on LinkedIn and newsletter copy, and on sponsor and partner visibility deliverables.

What We Expect from You

Essential

- A can-do attitude and reliable, detail-oriented approach. You don't drop items, follow up without reminders, and flag problems early.

- Fluent English—both written and spoken (C1+). We assess actual writing and communication rather than self-declared level.

- Proven experience organising at least one real event or logistically complex project. Be ready to speak to specifics: what you owned, how many people, what went wrong.

- Willingness to own a checklist end to end and chase external people politely and persistently.

- Professional written and spoken manner with senior contacts (mayors, city directors, corporate clients).

- Solid digital baseline: spreadsheets, shared drives, calendars, collaborative documents.

- Ability and willingness to travel in Europe and be on-site around event dates.

Right to work plus a valid internship arrangement for Spain or Germany.

Nice to have

- Spanish, Portuguese, or German (also welcome: French, Italian, Dutch).

- Experience at a congress organiser, events agency, or DMC.

- Canva or basic design skill; comfort inside brand templates.

- Exposure to a CRM (HubSpot)



or project tool (Jira, Asana, Trello, Monday).

- Speaker or sponsor management experience.

- Interest in public sector, EU projects, Smart Cities, or urban innovation.

Your Profile

Background in Event Management, Communications, Business Management, or Urban and Sustainability Studies is appreciated, but we will prioritise evidenced skills. What matters most is that you've organised something real and can demonstrate reliability and attention to detail.

Tools & Domain Knowledge

Microsoft 365 (Outlook, Excel, PowerPoint, Teams, SharePoint) is expected on arrival. Slack, Jira, and Confluence are learned on the job. Canva, HubSpot, and registration/webinar tools are nice to have and trainable within days. No prior Smart Cities domain knowledge is required—we value curiosity about cities and urban innovation over existing expertise.
