Job Summary The Payroll & HR Specialist will support the European organization, with primary responsibility for coordinating payroll and managing day-to-day HR administration for employees in Spain and several other European countries.

This is a hands-on, individual contributor role supporting a population of fewer than 100 employees. Payroll is managed through third-party payroll providers, and the Payroll & HR Specialist will serve as the key internal point of contact responsible for coordinating the payroll process, reviewing payroll outputs, resolving issues, and ensuring that payroll is accurate and delivered on time.

In addition to payroll coordination, the Payroll & HR Specialist will manage a broad range of HR administration activities across the employee lifecycle.





The adecuado candidate is highly organized and detail-oriented, has strong knowledge of Spanish payroll and employment administration, is comfortable working across multiple European countries, and can communicate confidently in both Spanish and English.

Key Responsibilities

- Coordinate monthly payroll processes for employees in Spain and other European countries.
- Act as the primary internal point of contact for external payroll providers.
- Collect, review, and communicate monthly payroll inputs, including new hires, departures, salary changes, bonuses, benefits, absences, and other employee changes.
- Review payroll reports and outputs for accuracy and completeness prior to payroll completion.
- Identify discrepancies and coordinate corrections with payroll providers and relevant internal stakeholders.
- Ensure payroll providers receive accurate information and meet agreed deadlines.
- Maintain clear payroll calendars, processes, and documentation for each relevant country.
- Respond to employee questions relating to payroll and coordinate resolution with external providers when necessary.
- Support payroll-related reconciliations, reporting, audits, and year-end activities.
- Monitor changes in payroll and employment requirements and coordinate with external providers to ensure appropriate implementation.
- Manage day-to-day HR administration across the employee lifecycle, including onboarding, employee changes, and offboarding.




- Coordinate employee onboarding and ensure all required HR and payroll information is collected accurately and on time.
- Maintain accurate and up-to-date employee records in HR Information System (ADP WorkForce Now).
- Support administration of leave, absences, benefits, and other employee processes.
- Maintain organized and confidential personnel files and documentation.
- Serve as a first point of contact for employees and managers regarding routine HR administration questions.
- Partner closely with Finance on payroll-related information, reporting, and reconciliations.

Required Qualifications

- 2-5 years of experience in payroll, HR administration, HR operations, or a similar role.
- Strong practical knowledge of Spanish payroll and HR administration.
- Experience coordinating payroll with an external payroll provider.
- Good understanding of Spanish employment administration and payroll requirements.
- Strong attention to detail and a high degree of accuracy.
- Excellent organizational and time-management skills, particularly around recurring payroll deadlines.
- Ability to manage multiple priorities and work independently.
- Strong written and verbal communication skills in Spanish and English.
- High level of discretion and professionalism when handling confidential employee information.

Preferred Qualifications

- Experience working in an international or multinational organization.
- Experience coordinating payroll across multiple European jurisdictions.
- Familiarity with European employment administration and payroll practices.

Salary & Benefits

- €35,000 – €45,000 gross annually, depending on experience and qualifications.
