Your main purpose Contract Preparation & Issuance: Coordinate the preparation of contracts and associated documentation with the Legal Department for issuance to contractors, consultants, and suppliers. Issue contracts for review and actively follow up on outstanding comments, approvals, and responses.
Contract Review & Version Control: Compare returned contracts against the original approved version and identify amendments, deletions, qualifications or unauthorised changes. Maintain clear version control of contracts, schedules, appendices and supporting documents. Coordinate contract comments and amendments with Property Procurement, Legal, Commercial and Project teams. Ensure that the final contract reflects the approved scope, price, programme, payment terms and commercial agreement.
Reporting & Stakeholder Coordination: Support the preparation of contract status reports for the Property Procurement team. Highlight delays, missing information, contractual discrepancies or approval issues at an early stage.
Liaise professionally and firmly with contractors, consultants, and suppliers to keep the contract process moving.
Contract Execution & Signatures: Prepare final execution copies and upload contracts to DocuSign or the company's approved electronic signature platform. Set up the correct signature workflow and confirm that all authorized signatories are included. Monitor signature progress and follow up with internal and external parties until the contract is fully executed. Confirm that all contract schedules, annexes and supporting documents are included before signature.
Contract Administration & Record Management: Maintain an accurate contract tracker showing current status, responsible party, outstanding actions and target completion dates. File signed contracts and related approvals in the correct project and procurement folders. Maintain a complete and auditable record of contract correspondence, approvals, revisions and signatures.
Procurement & Project Administration Support: Support purchase order and supplier onboarding activities where required. Assist with general procurement and project administration during busy periods.
What will you bring? Professional Experience: Previous experience as a Contract Administrator, Project Administrator, Document Controller or similar role. Experience within construction, property development, engineering, architecture or a related environment. Experience supporting hotel, resort,
residential or commercial construction projects. Experience working within a procurement, commercial, legal, or project-management team.
Systems & Technical Skills: Experience using DocuSign or another electronic signature platform. Strong Microsoft Office skills, particularly Word, Excel, and Outlook. Experience using SharePoint, Teams or similar document-management platforms.
Organization & Attention to Detail: Strong organizational skills and the ability to manage multiple contracts simultaneously. Strong attention to detail and the ability to identify differences between document versions.
Contract & Commercial Knowledge: Good understanding of document control, revision control, and approval workflows. Familiarity with consultant appointments, construction contracts, and supply agreements. Experience reviewing returned contracts and identifying changes from the issued version. Knowledge of supplier onboarding and purchase order processes.
Communication & Stakeholder Management: Confidence in dealing directly with contractors, consultants, suppliers, and senior internal stakeholders. The ability to follow up persistently and professionally. Fluent written and spoken English. Good working knowledge of Spanish.
