As Payments Administrator, you’ll be responsible for supporting the accurate, timely, and efficient processing of payments and related financial administration. The role involves processing invoices and payment requests, maintaining accurate records, reconciling payment transactions, resolving queries, and ensuring that payments are made in accordance with company policies and controls.
What you’ll be doing
- Process supplier, customer, employee, and other authorised payment requests accurately and within agreed deadlines.
- Review payment documentation and supporting information to ensure completeness and compliance with internal procedures.
- Enter and maintain payment and financial data within accounting or payment systems.
- Prepare payment runs and ensure appropriate approvals are obtained before payments are released.
- Reconcile payment transactions against bank statements and accounting records.
- Investigate and resolve discrepancies, rejected payments, duplicate payments, and other payment-related issues.
- Respond to payment queries from suppliers, customers, employees, banks, and internal stakeholders.
- Maintain accurate and up-to-date payment records and supporting documentation.
- Assist with bank reconciliations and month-end financial processes.
- Monitor outstanding payments and follow up on items requiring action.
- Liaise with Finance, and other relevant teams.
- Support the maintenance of supplier and payment information, including appropriate verification and approval procedures.
- Ensure all payment activities comply with company policies, financial controls, and relevant regulations.
- Identify opportunities to improve payment processes, reduce errors, and increase efficiency.
We’d like to hear from someone that
- Has previous experience in payments, accounts payable, finance administration, or a similar role.
- Brings strong numerical and data-entry skills with excellent attention to detail.
- Is proficient in understanding payment and financial administration processes.
- Communicates experience using accounting, ERP, banking, or payment systems, and is highly organized, with excellent time management and prioritization skills.
- Works well with Microsoft Excel.
- Has strong organisational and time-management skills.
- Is skilful working accurately to deadlines.
- Demonstrates good written and verbal communication skills.
- Is skilful with investigating discrepancies and resolving routine payment issues.
- Has high level of integrity and confidentiality.
