We are currently supporting a Spanish renewable energy provider as they manage the complexities of growing their infrastructure projects. Our team helps their leadership resolve the structural friction that often slows down large scale energy initiatives. As a Project Planning Assistant, you will provide the organizational support that keeps these engagements running smoothly. This is a fully remote role where your work will directly help our consultants and the client maintain clear priorities.
About the Role
Olive Tree Consulting believes that memory is not a management system. This role exists to ensure that every decision and follow-up for our renewable energy client is documented and assigned correctly. You will not just be scheduling meetings or managing calendars: you will be helping build the written record that prevents priorities from stalling.
You will work closely with our lead advisors to map out the steps between high level strategy and daily execution. This position is idóneo for someone at the start of their career who enjoys bringing order to complex situations and prefers clear, plain communication over corporate jargon. Because we work entirely online, you will need to be comfortable managing your time and tasks in a remote environment.
What You Will Do
- Draft clear and concise notes during client workshops to capture decisions as they happen.
- Track the ownership of tasks to ensure no action item is forgotten after a meeting ends.
- Maintain project timelines that reflect real progress rather than vague or optimistic goals.
- Organize the weekly rhythm for the consulting team to ensure everyone is prepared for client sessions.
- Translate complex verbal discussions into simple and actionable lists for the client team.
- Support the creation of plain, useful documents that replace heavy or confusing slide decks.
- Monitor project health by checking in on agreed upon deadlines and flagging potential delays early.
- Help manage the digital filing system so that the client can always find the latest version of a plan.
What We Are Looking For
- Exceptional attention to detail and a habit of noticing when a name or a date is missing from a plan.
- A clear writing style that favors simple words, short sentences, and logical structure.
- A calm approach to work, even when you are handling multiple streams of information during a busy meeting.
- Natural organizational skills and a preference for putting things in a predictable order.
- Curiosity about how companies work behind the scenes and a desire to learn management principles.
- Reliability and a commitment to doing what you say you will do, every single time.
- Comfort with technology and the ability to learn new project software quickly.
Helpful Background
- Basic familiarity with project tools such as Trello, Asana, or simple spreadsheets.
- Previous experience taking minutes or detailed notes in a school project or volunteer setting.
- The ability to summarize long conversations into a few essential bullet points.
- Comfort working in a digital environment using video tools and chat applications.
- An academic background in business, communications, or environmental studies is useful.
- Experience coordinating small groups or managing a schedule for a club or organization.
