PanTera relies on specialized external partners for the design, engineering, and construction of our process and building systems. As our project scales across multiple parallel workstreams, we are looking for a PMO Coordinator (on a consultancy/freelance basis) to bring structure, consistency, and traceability to how engineering documentation and processes are managed across the organization. You will ensure that the documentation, naming, and approval processes used across our various technical workstreams are consistent, well-structured, and easy to manage at a company level.

Key responsibilities

- Take ownership and roll out a consistent naming convention for equipment, documents, and systems across the site
- Design and implement a standardized design review and approval workflow, aligned with existing project milestones and gates
- Structure and maintain a centralized technical documentation repository, including version control and release management practices
- Coordinate with project managers, HSE and technical stakeholders across different workstreams to ensure consistent adoption of these standards
- Support alignment between engineering / commissioning / HSE documentation practices and broader documentation practices




- Support standardization of processes across project management (request for quotation, consolidation of KPIs, etc.)

Profile

- Technical bachelor's or master's degree in engineering (industrial, electromechanical, electrical, mechanical, civil engineering or equivalent) or equivalent through experience.
- Min 5 years experience in a PMO, document control, or configuration management role, ideally within an industrial, engineering, or regulated environment
- Strong organizational skills and comfort defining and implementing structured processes across multiple stakeholders
- Familiarity with document management systems, version control, and release management practices
- Fluency in English required; French and/or Dutch a plus
