Head of Operations — Vision XR Gallery Group

About Vision XR

Vision XR is a fast-growing contemporary art company with galleries and activities across Belgium and internationally. As we enter our next phase of growth, we are looking for a Head of Operations who can bring structure, ownership and operational excellence to the organisation.

This is not a traditional back-office role. We are looking for someone who enjoys working in an entrepreneurial environment, takes responsibility and turns ambitious plans into execution.

The role

As Head of Operations, you become the operational right hand of the Founder & CEO.

Your mission is simple:

Make sure the organisation runs — without everything having to run through the CEO.

You will take ownership of the day-to-day operations across the group and build the systems, standards and accountability needed to support further growth.

Your responsibilities

- Lead and coordinate day-to-day operations across our galleries and activities.
- Translate management decisions into clear actions, owners and deadlines.
- Manage and coach the operational team.
- Create and implement SOPs and company-wide working standards.
- Ensure teams consistently follow processes and commitments.
- Oversee artwork inventory, logistics, deliveries and installations.
- Coordinate exhibitions, events and gallery operations.
- Drive the implementation and daily adoption of our internal CRM/ERP system.
- Build clear weekly operational and management reporting.




- Track KPIs, deadlines and commitments across departments.
- Identify operational bottlenecks and solve them proactively.
- Coordinate suppliers and external partners.
- Support recruitment, onboarding and performance management.
- Help prepare and operationally execute new international locations and projects.
- Create a scalable operational model that can be replicated as Vision XR expands.

Who we're looking for

We are looking for someone who is highly structured, hands-on and demanding about execution.

You should be someone who sees a problem and solves it rather than simply reporting it.

Ideally, you have:

- 5+ years of experience in operations, general management, project management or multi-site management.
- Experience managing people and holding teams accountable.
- Strong organisational and project-management skills.
- Experience creating processes rather than only working within existing ones.
- Strong commercial and financial understanding.
- Excellent communication skills.
- Professional proficiency in English and Dutch; French is a plus.
- The ability to operate effectively in a fast-moving entrepreneurial company.
- Experience in luxury, art, hospitality, retail,



real estate or another high-service environment is an advantage, but art experience is not required.

Within your first 6 months:

- Responsibilities and ownership across the organisation are clear.
- Weekly management reporting is running.
- Key operational processes are documented and followed.
- Deadlines and commitments are systematically tracked.
- Operational issues are resolved without constant CEO involvement.
- Gallery, inventory and logistics operations have measurable standards.
- The organisation is prepared to support further international growth.

Most importantly:

The Founder & CEO is increasingly able to focus on sales, strategy, key relationships and growth instead of day-to-day operational management.
