About the Role
We are looking for an Assistant Office Manager to support the efficient daily operations of our Madrid office on a temporary basis to cover a maternity leave. Reporting directly to the Office Manager, the role will ensure a welcoming and well‑organized environment for employees and visitors and assist in the implementation of office policies, procedures, and services.

Key Activities and Responsibilities

- Support the management of everyday office duties, including reception.
- Oversee visitor interactions to ensure a friendly, personal experience.




- Maintain peak operations, implementing preventive measures for potential issues.
- Assist in the implementation of policies and procedures, measure outcomes against standards, and improve operational flow.
- Coordinate internal and external resources and cultivate relationships with vendors.
- Respond to requests and questions about office operations.
- Maintain office efficiency by managing common areas, organizing procedures, handling correspondence, managing file systems, and overseeing supplies and equipment.
- Act as the main point of contact in the reception area, providing day‑to‑day oversight and reporting to management regularly.
- Provide direct administrative support as needed: scheduling appointments and meetings, booking travel, maintaining file systems, mailing and shipping packages, and updating contact databases and employee lists.
