HR Services Officer
MISSION
Ensure the operational management of all HR processes by delivering them efficiently, compliantly and in a service-oriented manner throughout the entire employee lifecycle. Actively contribute to their continuous improvement in order to provide a high-quality, people-focused and efficient HR service.
Carry out the administrative and operational activities related to personnel administration, including providing backup for the payroll process, while closely collaborating with the various HR experts and process owners to successfully deploy HR policies, processes and projects.
KEY RESPONSIBILITIES (non-exhaustive list)
As an HR Services Officer, your responsibilities will include:
- Processing all employee-related information accurately and within agreed deadlines throughout the entire employee lifecycle (letters, employment contracts, amendments, social documents, onboarding/offboarding, absences, sick leave, holidays, training registrations, career and life events, etc.) in order to provide a professional and people-oriented service to employees while contributing to payroll preparation.
- Acting as the first operational HR point of contact by providing information and answering employees' questions (explaining Belgian social legislation, internal policies and procedures, first-line support for HR tools, etc.) to ensure an accessible, responsive and people-focused HR service.
- Keeping employee records, HR systems and databases (Mpleo, Protime, eBlox, etc.) up to date in accordance with the established governance framework to ensure data quality, compliance with Belgian labour legislation, internal procedures and ISO requirements.
- Coordinating HR administrative workflows between employees, managers and the People & Organisation team to ensure timely follow-up and a high level of internal customer satisfaction.
- Providing backup to the HR Payroll Officer by carrying out agreed payroll-related activities in line with the payroll calendar (entering and validating payroll variables, identifying and correcting discrepancies, answering first-line payroll questions from employees and liaising with the external payroll provider) to ensure business continuity during absences or periods of unavailability.
- Supporting the experts and process owners within the People & Organisation team in the operational and administrative implementation of HR policies, processes and projects, thereby contributing to the success of HR initiatives.
- Proposing and contributing to the implementation of continuous improvements in collaboration with the team's process owners to further enhance the efficiency of HR operational processes and the overall quality of personnel administration.
- Keeping up to date with developments in Human Resources, the labour market and Belgian social legislation, and contributing to the necessary adaptations to ensure HR services remain compliant and aligned with best practices.
PROFILE
As an HR Services Officer, you bring:
- A Bachelor's degree or equivalent experience, combined with 3 to 5 years of experience in a generalist HR role or personnel administration.
- A solid knowledge of Belgian social legislation and core HR processes.
- Excellent organisational, planning and prioritisation skills, enabling you to coordinate multiple processes simultaneously.
- A structured, accurate and detail-oriented approach, with a strong sense of confidentiality and respect for deadlines.
- A strong customer service mindset,
excellent interpersonal skills and a genuine desire to support employees on a daily basis.
- Good command of Microsoft Office applications (Word, Excel, Outlook and PowerPoint), together with experience using HR systems such as Mpleo, Protime, eBlox or equivalent solutions.
- Strong analytical skills, allowing you to identify improvement opportunities and contribute to the continuous optimisation of HR processes.
- The ability to work independently while collaborating effectively with a wide range of internal stakeholders.
- You are French-speaking or Dutch-speaking and have a good knowledge of the other national language.
