Position Summary

We are seeking an experienced cosmetic regulatory and product-registration professional to take ownership of Glossic's international regulatory workflow and the wider administrative processes connected to product launches. The core expertise required for this role is cosmetic regulatory affairs and product registration. The successful candidate will also manage supplier documentation, testing coordination, courier/customs paperwork, document control, and general cosmetics operations. Prior specialist experience in every administrative or logistics task is not required; these workflows can be learned on the job.

Key Responsibilities

International Regulatory Affairs & Product Registration

- Manage cosmetic regulatory compliance and product registrations/notifications in the EU and support registrations in the UK, US, UAE, Saudi Arabia, and other GCC markets.
- Manage EU CPNP notifications, PIFs, product changes, and ongoing regulatory compliance.
- Coordinate country-specific registrations with Responsible Persons, importers, distributors, consultants, or regulatory agents where required.
- Track submissions, authority queries, registration numbers, renewals, deadlines, and missing documentation.
- Monitor regulatory changes and advise on ingredients, labelling, claims, documentation, and launch readiness.

CPSR, PIF & Technical Documentation Coordination

- Coordinate CPSR preparation with an external qualified Safety Assessor and provide all required documentation.
- Prepare, maintain, and update complete PIFs and technical product files.
- Collect and review formulas, INCI lists, certificates, test reports, supplier declarations, and other required technical documents.




- Identify missing or inconsistent documentation and follow up until files are complete.

Labelling, Claims & Supplier Coordination

- Review labels, artwork, ingredient lists, warnings, mandatory statements, and claims for regulatory compliance.
- Coordinate with manufacturers, suppliers, laboratories, and regulatory partners to obtain documents, resolve issues, and arrange testing.
- Maintain organised records of formulas, artwork, certificates, testing, registrations, suppliers, and product changes.

Courier, Customs, Retail Partners & General Cosmetics Administration

- Coordinate courier, freight, customs, and import/export paperwork for samples, components, packaging, and finished products.
- Resolve customs, courier, shipment, and documentation issues with external logistics specialists when required.
- Manage retail-partner operations, including onboarding, retail documentation, product and compliance files, in-store stands/displays/testers, launch materials, product shipments, restocks, and ongoing partner support.
- Take ownership of day-to-day regulatory, retail, product, and administrative paperwork and follow actions through to completion.

Required Experience & Skills

- Approximately 3-5 years of experience in cosmetic regulatory affairs, cosmetic product registration, market access, or a closely related cosmetics compliance role.



Strong equivalent hands-on experience may also be considered.
- Strong practical knowledge of EU cosmetics requirements, including Regulation (EC) No. 1223/2009, CPNP, PIFs, labelling, INCI lists, claims, technical documentation, and product compliance.
- Proven hands-on experience managing cosmetic product registrations or notifications and taking products through a regulatory submission process.
- EU regulatory experience plus demonstrated international product-registration experience is sufficient. Candidates are not expected to have previous hands-on experience in every target region.
- Ability to learn additional UK, US, UAE, Saudi, or other GCC registration systems and work confidently with local regulatory partners where needed.
- Excellent organisation, attention to detail, written English, professional supplier communication, and the ability to manage multiple products, deadlines, documents, and follow-ups at the same time.
- Comfort using spreadsheets, trackers, shared cloud folders, Microsoft Office and/or Google Workspace, and structured document-management systems.

Preferred Experience

- Colour cosmetics, lip care, skincare, tanning products, and SPF.
- Experience working with manufacturers in China.
