Job Description
We are looking for a highly operational and results-driven Facilities Coordinator to be the backbone of our physical workspace. This role is essential for driving office improvements, managing day-to-day infrastructure, and ensuring organizational effectiveness, communication, and safety. You will combine rigorous office administration with proactive facilities management to create a pleasant and efficient work environment.
Responsibilities
Proactively detect and fix office-related infrastructure issues including HVAC, plumbing, and electrical systems.
Ensure full compliance with Health & Safety (H&S;) protocols, security guidelines, and emergency systems.
Oversee daily office operations,



implementing administrative systems to facilitate smooth running.
Manage office supplies inventory, stationery, and equipment procurement while following sustainable practices.
Coordinate incoming/outgoing mail, packages, and provide general support to visitors and employees.
Manage office operations budget, track invoices, handle purchase orders, and ensure timely payments.
Negotiate contracts and manage relationships with facility vendors (cleaning, catering, security) and landlords.
Qualifications
4–5 years of experience as an Office Manager or Facilities Coordinator in a fast-paced environment.
Fluency in English and Spanish (written and verbal).
Proficiency in Google Workspace (Docs, Sheets, Drive) and MS Office.
Strong negotiation, problem-solving, and time management skills with a proactive "can-do" attitude.
