Swoogo Consultant (Contract, 4 months)

Our client, a leading deep-tech research and innovation organisation, is looking for an experienced Swoogo consultant to support their CMO events team during a key transition phase. The organisation is evolving from a fragmented use of Swoogo towards a scalable, standardised, and data-driven event ecosystem supporting a wide portfolio of international B2B events.

You will help accelerate this transformation by optimising the current setup, improving efficiency, and building a strong foundation for future growth.

Please note - this is a contract position based in Leuven and will require 3 days per week onsite.

The assignment

Optimisation of Swoogo setup

- Identify inefficiencies and inconsistencies
- Find improvement opportunities in current setups
- Redesign key flows based on best practices

Standardisation and scalability

- Develop reusable templates
- Define governance and setup guidelines for consistent use across teams

Data and reporting

- Improve structure and quality of registration and survey data
- Strengthen the link between Swoogo data and event KPIs / business impact

Technical support and integrations

- Support more advanced configurations (e.g. SSO, integrations, app setup) and collaborate with internal stakeholders

Knowledge transfer

- Train the events team and key stakeholders
- Document best practices and processes

Required knowledge and skills





- Proven experience with Swoogo implementation and optimisation is a must
- Ideally 5 to 8 years of experience in a similar position
- Strong understanding of event management workflows (B2B events is a plus)
- Experience with registration flows and UX design, event apps and attendee journeys, surveys and reporting, and integrations (SSO, APIs, etc.)
- Hands-on, structured, and able to translate complexity into clear solutions
- Strong stakeholder communication skills

Success criteria (expected outcomes) by the end of the assignment

- Standardised Swoogo templates and setup guidelines are in place
- Enhanced attendee experience and consistency across events
- Internal teams are trained and more autonomous and efficient
- Clear reporting structure and dashboards for event KPIs
