I Don't Work a Single Day Without These 5 Copy-Paste Prompts

Let me be honest with you.

I used to spend the first two hours of my day just getting started — clearing mental clutter, figuring out what to write, rewriting the same email three times, drowning in half-finished tasks.

Then I stopped treating AI like a search engine. I started giving it real instructions — the kind that actually mirror how I think. And that changed everything.

These 5 prompts are now permanently saved on my desktop. I use them every single day, in this exact order. They're not fancy. But they work every time.

- The "Brain Dump to Action Plan" Prompt

Use this: First thing in the morning, before you open any app.

Most people start their day reactive — emails, notifications, someone else's agenda. This prompt forces you to start on your terms.

The Prompt: "I'm going to do a brain dump. Everything on my plate right now — work tasks, ideas, worries, random stuff. Once I'm done, organize it into: (1) urgent tasks for today, (2) things I can delegate or batch later, (3) ideas worth saving, and (4) noise I should ignore. Ready? Here goes: [your brain dump]"

Paste whatever's in your head — messy, incomplete, half-sentences. ChatGPT will turn the chaos into a clean, prioritized plan in seconds. It's like having a chief of staff read your mind.

Why it works: You're not asking AI to think for you. You're asking it to organize what you already know. The output is always more useful because the input is yours.

- The "Explain It Back to Me" Prompt

Use this: Before writing anything — an article, email, strategy doc, anything.

Writer's block usually isn't about ideas. It's about clarity. You haven't fully understood what you're about to say yet.

The Prompt: "I need to write about [topic]. Here's what I know so far: [your rough notes or thoughts].

Explain this back to me simply, like you're helping me understand it clearly before I write. Point out anything that's confusing, missing, or contradicts itself."

This prompt saves me at least 45 minutes on every long-form piece. I stop staring at a blank page and start responding to something — which is ten times easier.

Why it works: Writing from a response is always faster than writing from nothing. You're using AI as a thinking partner, not a ghostwriter.

- The "Make It Sound Like Me" Prompt

Use this: After any AI draft, before you publish or send.

Raw AI output sounds like... AI. Even when it's technically good, it reads like a press release from a company no one has ever cared about. You need to de-robot it.

The Prompt: "Here's a draft I need to clean up: [paste draft]. Rewrite it so it sounds human, direct, and conversational — like someone explaining something to a friend they respect. Cut anything that sounds like filler or corporate speak. Keep the core ideas intact but make the tone warmer and more confident."

The result is never perfect on the first pass, but it's always closer to your presente voice than what ChatGPT originally gives you. Tweak from there.

Why it works: You're not asking AI to "be creative." You're giving it a clear stylistic direction. Specific instructions always beat vague ones.

- The "Poke Holes in This" Prompt

Use this: Before sending any important email, pitch, or post.

Most of us read our own work through rose-tinted glasses. We see what we meant to say, not what we actually wrote.

The Prompt: "I'm about to send this to [describe audience — e.g., a potential client / my newsletter readers / my manager]. Read it and tell me: What's unclear? What might they misunderstand? What questions does this leave unanswered? What's the weakest part of my argument? Be direct.

[Paste your content]"

I've caught more embarrassing mistakes with this prompt than with any editor. It's brutal and useful in equal measure.

Why it works: You're simulating how a skeptical reader sees your work — not how you, the creator who knows too much, sees it. That gap is where most communication breaks down.

- The "End-of-Day Download" Prompt

Use this: Last 10 minutes of your workday.

This is the one most people skip. Don't.

The Prompt: "Here's what I worked on today: [quick list]. Help me: (1) Write 2-3 sentences summarizing what I actually accomplished, (2) Identify what I should prioritize first tomorrow, and (3) Note anything I said I'd do but didn't — so I can reschedule it, not lose it."

This takes under 10 minutes. But it does something nothing else does — it closes the loop. You stop carrying unfinished tasks in the back of your head all evening.

Why it works: Your brain doesn't trust you to remember things. When you write them down and process them, it finally lets go. You actually rest.

Are you running your business on incomplete numbers?

Most small business owners have financials, but few have financial clarity. There's a real difference between books that are technically up to date and books that actually tell you what's going on in your business right now. When accounting is reactive — updated when there's time, reviewed at tax season — you lose visibility exactly when you need it most. You can't tell which clients are truly profitable. You can't spot a cash flow gap before it becomes a crisis. BELAY's outsourced accounting team changes that.

The Real Secret

None of these prompts are magic. What makes them work is that they're specific, they match real moments in your day, and they treat AI as a thinking tool — not an answer machine.

Save these somewhere you'll actually find them. Tweak them to fit your language. Use them enough times and they'll start to feel like part of your own workflow.

That's when the real productivity shift happens.

Found this useful? Forward it to one person who's still copying generic prompts from random listicles.
