This is an exclusive ultra-luxury private estate in the Caribbean, comprising a collection of individually managed private residences alongside a range of shared amenities, dedicated to delivering exceptional, discreet and highly personalised experiences for homeowners and their guests.
We are looking for an experienced Head of Guest Services to join the Shared Spaces team, reporting directly to the Experience Director.
This is a planning, coordination and communication-focused role, idóneo for someone who thrives on ensuring seamless behind-the-scenes delivery. You will build strong relationships with the estate and Shared Spaces teams, taking overall responsibility for ensuring all guest services from the estates are booked and run smoothly across the shared amenities, and acting as the primary point of contact between the estates and the Shared Spaces team.

Key Responsibilities
- Act as the connective tissue between individual estates and the Shared Spaces team, ensuring nothing falls through the cracks behind the scenes.
- Own the daily rhythm of operations — coordinating, communicating and troubleshooting as bookings unfold.
- Serve as the go-to contact for estate-side teams on anything touching Shared Spaces logistics or usage.
- Get ahead of every booking, flagging requirements and prepping the team well before guests set foot on site.
- Keep shared systems (calendar, event orders, guest profiles) current so nobody is working off stale information.
- Turn arrival details and guest preferences into clear, digestible briefings for frontline staff.
- Chair a weekly planning huddle with Ambassadors and Attendants to set priorities and divvy up tasks.
- Stay closely aligned with the Activities team so guest-facing plans don't collide or duplicate.
- Write and refine SOPs covering setups and technical operations across shared venues.
- Track inventory, process beverage orders, and handle monthly finance reporting for the department.
- Walk the shared spaces daily to catch presentation or cleanliness issues before guests do.
- Produce on-brand menus, event materials and guest collateral as needed.
- Manage supplier relationships and keep third-party bookings on track.
- Hold the wider team accountable by keeping communication tight across every stakeholder group.
Requirements
- Several years' background in luxury hospitality,
guest relations or private estate management.
- Exposure to high-end resorts, estates or boutique properties is a strong plus.
- A hospitality, events or tourism qualification helps but isn't essential.
- Sharp organisational instincts and the composure to juggle competing priorities.
- Comfortable with digital planning tools — Canva, Excel, booking systems and the like.
- A creative eye for how spaces and events come together.
- Trusted with sensitive guest information and high-profile clientele.
- A natural collaborator who adapts well to close-knit, remote working environments.
- Holds a valid licence and is willing to obtain the local equivalent during probation.
Additional Information
This role reports directly to the Experience Director, with key working relationships across the Estate Managers, Estate Heads of Guest Services and the wider Shared Spaces Experience team.
The Head of Guest Services is a senior coordination role at the heart of the estate's operations, requiring flexibility to work extended hours including evenings, weekends and public holidays. Occasional support across other estates and departments should be expected, particularly during peak periods or in preparation for seasonal events.
