Next Level S.L. is a performance and affiliate marketing agency based in Palma de Mallorca. We run affiliate programs for e-commerce and D2C brands across the DACH region and Europe. Around 20 colleagues work from our Palma office — international, fast-moving, and hands-on. The role
This position sits at the centre of the company. You own HR operations, keep the Palma office running, and support the management team directly. You work independently, set your own priorities, and get things finished.
This is a fully on-site role in Palma. Remote or hybrid arrangements are not possible — the role is built around being present for our team members, the management team, and our visitors. Your focus areas Human Resources (approx. 60%)
Own the full recruitment process: job ads, screening, conducting first-round interviews yourself, handing the shortlist to the hiring manager
Maintain a structured candidate pipeline per open role, update hiring managers weekly, and steer the process via time-to-hire and cost-to-hire
Onboarding and offboarding: contracts, documentation, equipment and accounts ready from day one
First point of contact for the team on payroll, benefits, holidays, sick leave, and internal policies
Manage payroll in cooperation with our external provider and the gestoría
Maintain employee data in the Zoho ecosystem (People, Sign, Books, Projects)
Coordinate the external occupational risk prevention service (PRL) and maintain the related documentation
Organise team events and office activities Office Management (approx. 25%)
Own day-to-day operations of the Palma office: equipment, supplies, services
Manage suppliers, service providers, and the landlord; contracts, insurance, utilities
Own the office budget, including negotiating framework agreements
Coordinate with IT on hardware and employee equipment
Welcome clients, candidates, and guests
Support conferences, trade fairs, and offsites Management support (approx. 15%)
End-to-end travel management: flights,
hotels, transfers, agendas, expense reconciliation
Coordinate appointments and meetings, including with partners and clients
Prepare documents, presentations, and meeting materials
Take ownership of ad-hoc projects
Deliver a short weekly operations report to management and raise blockers early How we measure success
After 6 months: recruitment pipeline is in place, time-to-hire is documented and trending down, onboarding is standardised
After 12 months: HR processes and office operations run without management having to follow up, office budget on target What you bring
At least 5 years of experience in a comparable role — HR, office management, executive assistance, or a combination of these
Excellent written and spoken English and Spanish. English is our working language; you need Spanish for the gestoría, authorities, the landlord, and local suppliers
German is a clear advantage — a large share of our clients are based in the DACH region
Experience conducting interviews and pre-screening candidates independently
Practical knowledge of Spanish labour law and social security processes A proactive, structured way of working: you prioritise yourself and get things finished
Confident with MS Office;
experience with cloud tools such as Zoho is an advantage
Based in Mallorca or willing to relocate, with the right to work in Spain Nice to have: experience with invoicing or accounts receivable, and experience in an agency or fast-growing SME.
