Role Description
The Office Manager is a part-time, Barcelona-based, remote-friendly role responsible for ensuring smooth day-to-day operations across the agency's business activities. This role includes managing calendars, coordinating meetings, overseeing digital filing systems, and maintaining accurate records for projects and vendors. The Office Manager will handle office administration tasks such as processing invoices, supporting basic bookkeeping activities and liaising with the gestoría, managing office tools and subscriptions, and organizing shared resources for the team. The role also involves responding to inquiries, providing professional customer service to clients and partners, and supporting internal communication workflows to keep team members informed and aligned. The Office Manager additionally supports event-related logistics,
including supplier bookings and confirmations, crew and travel coordination, permits and event documentation, and is present on site at key Barcelona productions, which involves occasional evening and weekend work around event dates. The Office Manager will collaborate closely with leadership to streamline processes and improve operational efficiency.
Qualifications
- Spanish as a first language, with strong written and spoken English.
- Strong communication skills, including clear written correspondence and professional verbal interaction with clients, partners, and internal team members.
- Experience in administrative assistance and office administration, including calendar management, documentation, record keeping, and coordination of daily operations.
- Ability to work confidently with office equipment and digital tools, such as productivity software, collaborative platforms, and basic document management systems.
- Customer service skills with a focus on responsiveness, problem-solving, and maintaining a professional, service-oriented approach in a client-facing environment.
- Proven ability to work independently in a remote setting, manage multiple priorities, and meet deadlines with attention to detail.
- Based in Barcelona and available on site on event days.
- Comfort with international collaboration and time zone coordination; experience in events, creative agencies, or professional services is a plus.
- Relevant education or training in business administration, office management, or a related field is beneficial.
- Legal right to work in Spain.
